Job Responsibilities

JOB SUMMARY:

Performs and provides transactional service administration for post-award services. Supports the entire post-award life-cycle process with highly accurate data entry, processing and transactional reviews that support grant and research administration functions and activities. Provides responsive and courteous assistance on behalf of the office to ensure accurate information and customer service is provided to faculty, staff and college/department administrators. Other duties as assigned.

Job Duties

40% - Essential - Grant Management and Accounting Support:

Responsible for new award project setup on file server. Prepares journals, budget amendments, and other adjusting or corrective entries as requested in support of grant accounting and post-award functions. Serves as the approver in buyWays and Concur for assigned units ensuring request are compliant and allowable and follow up with departments or employees as needed.

30% - Essential - Support Services:

Provides support with clearing errors weekly and at month-end. Looks for proactive ways to ensure charges are appropriately charged and allocated to grant projects. Provides support to Grant Accountants and Research Business Officer as assigned by RBO.

15% - Essential - Project Setup Review and Close-Out:

Review and interpret award terms and conditions and advise Post-Award Accountants. Seeks guidance from GCA related to unique or problematic award terms. Assist Post-Award Accountants to develop updated budgets for modifications and submits sponsor and internal budget forms to GCA. Verifies final closeout expenditures, cost sharing and revenues and provides to GCA certifying project is ready to close.

10% - Essential - Data Integrity - Data Review - Quality Assurance:

Monitors sponsored budgets, cost sharing, subaward, and encumbrances for financial-relates issues and compliance-related matters. Assist with resolving compliance issues. Completes audit requests as assigned by Post-Award Manager. Stays abreast of Federal, State, and University regulations related to research issues by reading materials, attending workshops, and other activities.

5% - Essential - Records Management, Continuous Improvement and Other Duties:

Performs monthly reconciliation as assigned by Post-Award Manager. Provides general support by ensuring proposal, award, setup, and audit required documents are secured and saved on the file server. Oversee proper disposal of documents in accordance with Records Management policies and procedures. Effectively communicates, collaborates, and work in a team-centric environment. Effectively leverages new tools, systems, devices, and software to reduce errors, streamline processes or increase productivity. Performs other duties as assigned.

Minimum And Additional Requirements

Education - High School or Equivalent

Work Experience 1+ years professional experience in a related area such as accounting, auditing, finance or commercial lending.

Preferred Qualifications

Education - Bachelor's Degree - Accounting, finance, or business management

Work Experience 2+ years of professional experience directly related, such as accounting, auditing, or finance. Experience with higher education research administration.
