Basic Function

The purpose of this position is to perform a variety of intermediate office/administrative support duties in the COAS Office of the Dean which require a thorough knowledge of a function or functions within a department or work unit. The incumbent will apply specialized functional knowledge to independently analyze and respond to administrative matters within established limits. General direction and supervision is typically received the Administrative Manager, Assistant Dean, and Associate Dean.

Nature And Scope

Internal contacts may include senior administrators, faculty, students,

and staff. External contacts may include vendors, consultants, and the general public.

Principal Accountabilities

Greets visitors to the office and directs them to the proper destination or

answers questions. Provides assistance within scope of knowledge and responsibility.

Answer telephones, questions, directs calls, and triage front desk inquiries.

Receives incoming mail, packages and notices. Ensure that all mail received has been placed in the appropriate department mailboxes and/or delivered to the Dean’s office staff. Distributes appropriate information, notices, etc. to the department contacts.

Maintain all staff directories, bulletin, and electronic boards, posts notices to ensure contains updated information.

Maintains the COAS Office of the Dean inventory of office supplies and minor equipment. Order office and program equipment, supplies, and monitor maintenance contracts.

Review travel authorization requests for completeness, accuracy of travel details required accompanied documentation, and alignment with organizational policies.

Perform quality control checks on travel submissions, resolving discrepancies or missing information prior to submission for approval.

Regularly update and maintain records of both approved and pending travel authorizations.

Arranges meetings, conferences, and appointments for senior administrator (s); make necessary travel reservations and itineraries; determines and prepares background material needed. May maintain calendar of one or more high level administrators in the office.

Participate in meetings and conferences pertinent to area of responsibility. Document meeting correspondence to include notes and/or action items.

May serve as liaison to faculty, staff, students, alumni, patients, outside agencies and the public concerning information or complaints.

Performs other job-related duties as assigned.

Core Competencies

Ability to develop and maintain proficiency in the utilization of Microsoft Word, Excel, PowerPoint and related software applications to perform a variety of typing and/or project assignments.

Knowledge of general office procedures and practices. Knowledge of basic record keeping procedures.

Skill in basic arithmetic, grammar, and spelling. Ability to effectively communicate orally and in writing.

Ability to establish and maintain effective and harmonious work relations with faculty, staff, students, and the general public.

Minimum Requirements

High School diploma or GED and 4-6 years of general work experience.

AA/AS may be substituted for 2 years of required work experience. BA/BS may be substituted for up to 4 years work experience. Experience is Workday is desirable.

Compliance Salary Range Disclosure

Expected Pay Range: $22.55 - $24.80 per hour
