Position Description

Position Overview:

Under general supervision, the Executive Assistant to the Chief People Officer will provide high-level administrative support and assistance to the CPO in managing various aspects of the organization's human resource's function. Individuals in this role will coordinate and schedule meetings, manage calendars, prepare reports and presentations, handle confidential information, and act as a liaison between the CPO and other internal and external stakeholders.

Duties and Responsibility:

  • Executive Support: Provides high-level administrative support to the Chief People Officer and leadership, maintaining the highest level of discretion and confidentiality.
  • Administration: Performs various administrative tasks for the Chief People Officer which include answering phones, responding to emails, communicating messages, managing calendars, scheduling meetings, recording meeting notes and minutes, ordering supplies, coordinating travel, conducting logistical tracking and research, and maintaining various records and documents.
  • Communications: Develops, reviews, formats, and distributes various communications, including memos, letters, emails, and other publications.
  • Customer Service: Provides superb customer service and relationship building with Human Resources, Harris County, Harris County constituents, and other partners.
  • Specialized Tasks: Assists with special projects and submissions for strategic alignment and fulfillment of the department's goals and vision; coordinates activities and special department functions as assigned.

Requirements

Education:

  • Bachelor's Degree in a directly related field and


Experience:

  • Two (2) years of directly related experience.


Knowledge, Skills & Abilities:

  • Knowledge of Harris County's objectives, goals, and initiatives.
  • Knowledge of Harris County reporting systems (PeopleSoft/STARS).
  • Knowledge of Microsoft Office applications (Word, Excel, Outlook, and PowerPoint)
  • Working knowledge in the use of word processing, database, and spreadsheet applications, their capabilities, and appropriate uses.
  • Excellent written and verbal communication skills.
  • Exceptional customer service skills.
  • Ability to establish and maintain effective working relationships and foster teamwork in a diverse environment.
  • Ability to maintain confidentiality when dealing with sensitive information.
  • Ability to prioritize tasks to maximize office efficiency and staff proficiency.
  • Must be highly organized in order to maintain detailed, accurate, and orderly records for multiple programs.

General Information

Position Type and Typical Hours of Work:

  • This is a full-time position with the typical work hours of Monday - Friday from 8 AM to 5 PM.
  • Occasional weekends, holidays, and overtime may be required based on the specific needs and demands of the department.


Work Environment and Physical Demands:

  • This position is based in an office environment, where the use of standard office equipment such as computers, phones, scanners, and filing cabinets is routine. The physical demands associated with this job are minimal, with occasional lifting and moving of objects weighing up to 10 pounds.
  • The role is predominantly sedentary, involving mainly sitting with occasional standing and walking.
