We are seeking a highly organized and efficient Office Manager to join our team and help us maintain our high standards of service.

Job Summary

The Office Manager role is crucial to ensuring that our organization runs smoothly. Their primary responsibility is the daily reconciliation of customer billing and employee timesheets, ensuring that clients have been charged correctly and that employee hours align with this billing. For this reason, the ideal candidate will be someone who demonstrates strong mathematic and analytic skills.

This individual will also be responsible for various administrative tasks including inbound and outbound calls from customers & vendors, appointment scheduling, employee payroll, accounts receivable, invoicing and other general office duties.

Experience with the following software or similar software products is required:

  • QuickBooks or other bookkeeping software.
  • Gusto or other payroll software.
  • Movegistics or other customer relationship management software.
  • Microsoft Office and/or Google Office applications.

Key Responsibilities

  • Invoicing and Financial Management:
    • Review and reconcile daily customer billing sheets
    • Review and reconcile daily crew timesheets
    • Prepare and send invoices to clients for completed work.
    • Track payments and follow up on outstanding invoices.
    • Use QuickBooks to manage financial records and transactions.
  • Customer Service:
    • Answer inbound calls from customers professionally and courteously.
    • Address customer inquiries and provide information about our services.
    • Schedule and confirm appointments for moving services.
  • Administrative Tasks:
    • Maintain organized records and files.
    • Perform general office tasks such as data entry, filing, and document management.
    • Manage office supplies and ensure the office is well-stocked and organized.
  • Payroll Management:
    • Process weekly employee payroll accurately and timely.
    • Maintain payroll records and resolve any discrepancies.
  • Software Utilization:
    • Utilize QuickBooks for invoicing tasks.
    • Use Microsoft Office and/or Google Office applications for various administrative tasks.
    • Gusto payroll software
    • Ability to learn and utilize various proprietary software.
  • Additional Responsibilities:
    • Social media management posting to Facebook and Instagram.
Requirements

  • Proven experience as an Office Manager or similar administrative role.
  • Proficiency in QuickBooks and Microsoft Office (Word, Excel, Outlook) and/or Google Office applications (Docs, Sheets, Gmail).
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Experience in the moving industry is a plus, but not required.
