Bowen & Co. Events is seeking a Project Manager to join our team of creative, enthusiastic, and strategic event professionals. Founded over 15 years ago, Bowen & Co. Events’ clients include The James Beard Foundation, producing their annual Awards for culinary excellence, as well as a 20-city Taste America culinary series popping up tastings and dinners around the country. More projects include food festivals, nonprofit galas for prestigious arts and cultural organizations in Manhattan, media events, and a conference for incredible women explorers and scientists.

The Project Manager, Event Marketing and Communications will work closely with clients to manage all marketing, press, and communications, including program and event collateral (print and digital); digital and print marketing assets; press releases; website content and social media assets; and co-branded sponsor deliverables. The role is to liaise with key internal and external stakeholders to forecast and manage the schedule for drafting, designing, reviewing, and approving all marketing and communication deliverables. You will ensure timely completion of all projects, tracking deadlines and strategically managing resources and systems for efficiency. Experience with project management software, Monday.com, is desirable.

Responsibilities

Client Liaison

• Serve as the primary liaison on the James Beard Foundation account, as it relates to client’s Marketing & Communications department, coordinating across departments including graphic design, marketing, public relations, sponsorship, and events.

Collateral Management and Operations:

• Create and maintain comprehensive timelines for select events, ensuring all collateral deadlines are met and Bowen & Co. deliverables are supplied in a timely manner

• Create and maintain checklists of all printed/digital collateral needs

• Oversee the day-to-day workflow for collateral creation and manage within project management software, Monday.com.

• Manage relationships with all internal/external stakeholders as it relates to collateral creation/approvals, including graphic designer, client project manager, client communications/marketing team, internal sponsorship manager, and internal Bowen & Co. leadership.

• Collaborate with parties noted above to create and/or deliver up-to-date information and assets (copy, menus, chef lists, sponsor logos, etc.), communicate edits, gain necessary approvals, and manage the design/print process in a timely manner for all collateral pieces

• Ensure all internal stakeholders (sponsorship manager, culinary producer, event director, etc.) are aware of upcoming deadlines, as needed.

• Identify potential issues and work proactively to resolve them, alerting Bowen & Co. leadership, as needed.

• Track the success and efficiency of collateral materials and processes, and suggest process improvements, as needed.

• Prepare agendas and report on project status at standing internal and client meetings.

Photography:

• Identify and/or confirm photographers for James Beard Foundation events, gain client approval, contract and manage onsite. For our 20-city Taste America tour, this requires collaboration with local producer teams across the country.

• Develop and gain approval on shot lists.

• Manage delivery, sorting, and sharing of photos with client and internal stakeholders, as needed.

Press Releases:

• Review press release drafts provided by client and other stakeholders for accuracy, and route updates through necessary channels.

• Collaborate with local producer teams across the country to review and approve their press releases, based on an approved template format.

• File all final press releases and reports for archiving.

• Liaison with PR teams, as needed.

Bowen & Co. Communications:

• Assist in the creation of sponsorship sales materials, including decks, sales sheets, and wrap reports, by customizing and updating design templates. Original graphic design is provided by designer.

• Assist in the creation of new business proposals and sales decks.

• Assist in creation of promotional MyEmma emails Bowen & Co. deploys to promote client events or share company news and messages.

• Manage updates to the Bowen & Co. website, as needed.

• Manage updates to the Bowen & Co. social media platforms, as needed.

Bowen & Co. Operations:

• Serve as liaison to building management for all office needs

• Serve as liaison to IT services firm for all tech needs (computers, printers, internet/Wi-Fi, phones, remote login, etc.)

• Manage assistants and interns in implementing various office protocols (PTO Tracking, office supply orders, Charity Bureaus Registration, etc.)

Job Requirements

• Strong organizational skills and exceptional attention to detail

• Ability to be a good brand representative for Bowen & Co. Events and our clients

• Excellent communication skills, verbal and written

• Strong computer skills including Microsoft Office (Word, Outlook, Excel, and PowerPoint)

• Aptitude for technology and working in software management systems, like Monday.com

• Creative problem solver

• Ability to handle multiple tasks in a fast-paced environment and meet deadlines

• Availability to work evenings and weekends, as needed (estimated 15-20 days annually with PTO extended), and some travel to events that take place across the country. The project manager will serve as a member of the onsite production team at various events throughout the year.

Competitive salary based on experience. This is a full-time salaried position with health benefits, PTO, and 401K available. Bowen & Co. Events currently works in-office three days a week and remotely two days a week. The office is in Dobbs Ferry in Westchester County, New York.
