DESCRIPTION: Collaborate with the Principal to coordinate, organize, and manage his/her daily activities, the effective operation of the office, and the daily activities of the school. Serve as the public relations liaison between the Principal/school and administrators, staff, students, parents, public, and community. This position will work with our leadership teams and District teammates to ensure the effective operation of our school programs.

SALARY: Classified, Grade Q, $24.74 to $30.51 per hour, depending on recent relevant experience. Position works 10 hrs day, 4 days a week on the 12 month work schedule. Eligible for benefits.

Duties And Responsibilities

  • Responsible for managing school services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved in partnership with the finance secretary, and that clerical functions throughout the school are properly assigned and monitored.
  • Point person for operations and procedures.
  • Support administrative staff with all Frontline postings and hiring paperwork.
  • Monitor certified staff absences through the automated system to ensure coverage in all classrooms daily. Monitor absences of classified employees and make arrangements for substitutes through the system. Provide schedules, keys and lessons to substitutes. Coordinate coverage for teachers in emergencies or when no substitute is available.
  • Serve as the public relations liaison for the high school office by screening calls and visitors; by providing information regarding Board of Education, District, and school policies; and by communicating and coordinating with district Staff Development Department, City of Brighton and City of Thornton, Rotary, and other community groups. This includes prompt and courteous return of voice and email correspondence.
  • Assist in managing the Principal's calendar, including coordinating meetings, appointments, and emergency situations.
  • Provide support for finance functions as needed, including making deposits & analyzing reports.
  • Supervise and train office personnel. Train, discipline, and evaluate office aides. Supervise substitute teachers, including providing information regarding locations, policies, etc.
  • Distribute, monitor, and maintain keys for high school buildings. Maintain list of keys checked out.
  • Support administrative staff with all Frontline postings and hiring paperwork.
  • Proof, verify, and maintain monthly substitute report, leave requests, and supplemental pay forms; classified time records; and professional leave reports.
  • Coordinate graduation with administrators, including senior letters, diplomas, and all aspects of graduation ceremony. Support with counselors on honor rolls and award programs.
  • Implement Crisis Management procedures during a crisis situation and evacuation. Actively participate on Crisis Management Team involved in student safety.
  • Coordinate with District on placement of student teachers and practicum students.
  • Coordinate the opening of the school for all staff.
  • Provide front desk and attendance coverage as needed.

Qualifications

  • High school diploma or equivalent plus post secondary courses in office management, secretarial, word processing, computer, and bookkeeping skills.
  • Ability to work independently, exercise judgment, and handle multiple tasks and deadlines.
  • Ability to maintain confidentiality in all aspects of the job.
  • Operating knowledge of and experience with computers/printers, telephone system, school monitoring systems, and copier. Knowledge of Frontline and ALIO systems is very helpful.
  • Must occasionally lift and/or move up to 25 pounds.
  • Bilingual skills (English/Spanish) helpful.
  • Must be able to pass a Colorado and Federal Bureau of Investigation background check.
  • 3+ years of experience in managing office operations, preferrably for a public school.
  • Interpersonal, public relations, customer service, problem solving, strong math, accounting/bookkeeping, analytical, communication, and advanced secretarial skills.
