The AP/AR Specialist reports to the Finance Director and is responsible for overseeing the ongoing functions of the NCOBS Financ e Department

  • Ongoing tasks include processing accounts payable/receivable , handling bank deposits
  • Management responsibilities include overseeing the financial tracking and communication process es related to credit card and petty cash transactions
  • A dministrative tasks include supporting the Finance Department in providing monthly financial reporting , processing mail and collecting deposits , acting as a trainer and liaison between the Finance Department and base camps , and assisting in project work and technology enhancements
  • Success in this position is defined by the ability of the incumbent to m anage these various accountabilities , support a healthy and collaborative working environment, and support the Finance Department in meeting established goals for completing financial process e s, report ing , and training. The AP/AR Specialist is a member of the Finance and Administrative teams
  • Essential Duties and Responsibilities: Accounting Manages accounts payable/receivable, including processing invoices and payments, vendor contracts and W9s, mail, and approvals
  • Processes deposits, including development revenue, course revenue and miscellaneous revenue. Corresponds with vendors and responds to inquiries
  • Post s transactions to journals, ledgers , and other records
  • Assists with other assigned month-end closing procedures
  • Oversees petty cash reconciliations and reimbursements
  • Manages credit card transactions, accounting, and reconciliations
  • Supports fixed asset and inventory accounting. Financial Reporting Assists with tax filings, such as sales and use tax forms and 1099 forms. Assists in preparing monthly and quarterly expense report s. Assists with audit preparation and documentation. Finance Team Lia i son Manages all finance-related communications and reporting with base camps and non-Town Office cost centers. Acts as a Finance team liaison for base camp managers and non-TO departmental leaders. Projects Assist s with project work and technology enhancements in the Finance Department , as needed Other duties as assigned. Working Conditions: Works at the administrative office (NCOBS Town Office) in Asheville, NC within office hours of 8:30am to 5:00pm. (37.5hr/week) At times, possible irregular work schedule. Potential for a hybrid (remote/office) schedule. Occasional travel required
  • Anticipated travel includes visits to NCOBS base camps for trainings , fieldwork , and debriefs. Qualifications: Associate's degree or higher in Accounting or a related discipline
  • Familiarity with Financial Edge software or other similar "mid-market" finance software packages preferred
  • Above average proficiency with Microsoft Office products : Strong competency in Microsoft E xcel
  • Familiar with other Microsoft Applications. A passion for experiential education and Outward Bound philosophy and ability to inspire others in this philosophy. Excellent team player; ability to work with and through peers to accomplish projects. Strong personal initiative, motivation , and resourcefulness. History of being d etail o riented and highly organized
  • Able to prioritize, lead , and work on multiple projects simultaneously. Able to clear a background check and motor vehicle record screening. Able to lift and carry 40 pounds safely. Compensation and Benefits: $44,000 - $46,000 annual compensation. Eligible for full-time benefits. Non-exempt, overtime eligible.
