Job Summary/Description:

This role holds responsibility for managing Payroll Administration and Academic Appointments, providing assistance in processing student officers and bi-weekly course assistants within the department. The incumbent will directly engage with students to collect required forms, documents, and clearances for student involvement in research and instruction, ensuring compliance with university policies. Additionally, this position oversees accurate and prompt payment for student payroll for casual positions and oversees departmental salary allocations and cost transfers for funded students, researchers, and adjuncts as necessary.

  • Supporting and guiding Student officers or course assistants in tasks such as grading. Managing the Department’s Roster for reappointing student officers each semester. Providing checklists, instructions, and materials, and liaising with students to collect all necessary clearances, forms, and documents for initial and subsequent appointments. Managing PAFs and Nomination materials for new and returning student officers, collaborating closely with Human Resources team.
  • Initiating HR and Faculty Affairs Transactions, including handling Nominations, PAFs, and other personnel matters for adjunct/visiting faculty, research appointments, and administrative positions as needed.
  • Ensuring timely administration of biweekly payroll for casual employees, inputting timesheets. Conducting departmental reconciliation and validation of payroll throughout the semester using ARC reports to ensure accuracy of charges and funding sources.
  • Managing departmental expenditures for UG, MS, and PhD program event budgets.
