Job Overview:

Client is seeking a seasoned Executive Assistant to partner with the Executive Vice President and Chief Financial Officer (CFO). This role demands a high level of discretion, confidentiality, and the ability to balance relationships across various business teams including Global Operations, Corporate Marketing, Human Resources, Investor Relations, and Government Affairs. You will work closely with the CFO's Chief of Staff (CoS) and Business & People Partner to optimize workflows, communication, and partnerships across the global team. Additionally, you'll be a core member of company's C-suite administrative team, with a leadership role in supporting the Finance organization's administrative teams.

Essential Duties and Responsibilities:

Calendar Management:

Own the CFO’s calendar; prioritize schedules and manage requests from C-suite executives, business partners, and team members.

Proactively gather agendas and manage attendee lists.

Occasionally provide calendar support to the Chief of Staff (CoS).

Meeting Planning and Event Coordination:

Plan and organize internal and external meetings, team offsites, and organizational-wide meetings.

Prepare briefing documents and create briefing packets for key business trips.

Travel Management:

Handle complex international and domestic travel arrangements, ensuring optimal itineraries.

Manage passports, visas, and all required travel documentation.

Tool Management:

Coordinate with executive technical support teams to ensure meetings and events have the appropriate technology.

Special Projects:

Partner with the CoS and Business & People Partner on special projects, such as researching issues, analyzing problems, and determining strategies.

Leadership and Mentorship:

Cascade organizational information to administrative team members.

Provide support and mentorship, helping identify avenues for development and opportunity.

Skills and Qualifications:

  • Experience supporting at the C-suite level in a public company, preferably within the high-tech industry.
  • Experience working with Board Committees, preferred.
  • Advanced knowledge of Windows desktop applications including Outlook, Word, Excel, and PowerPoint.
  • Excellent attention to detail and maturity in handling confidential information.
  • Strong problem-solving skills with the ability to anticipate deliverables.
  • Ability to prioritize and manage complex issues effectively.
  • Excellent written and oral communication skills.
  • Highly organized, resourceful, and detail-oriented.
  • Demonstrates leadership and thrives in a collaborative, team-oriented environment.
  • Passionate, inclusive, and ethically minded.

Education:

  • Bachelor’s degree or equivalent preferred.
