Position Overview:

The Coordinator is responsible for providing administrative and project support to the PBS Product Development leadership team. The incumbent also provides general administrative support for the department overall.

Key responsibilities will include, but are not limited to:

  • Manage Vice Presidents’ calendars. Duties include scheduling meetings, juggling shifting meeting schedules, proactively flagging scheduling conflicts, proactively seeking, and providing meeting agendas and ensuring a timely response to meeting requests.
  • Provide project support for PBS Vice Presidents, including: facilitating communications with PBS staff, stations, and producers; and supporting them in preparation for conferences, presentations, and other public speaking events.
  • Coordinate travel logistics, including transportation, hotel accommodations, and conference registrations for the Vice Presidents and offer general travel support for PBS Digital Team.
  • Arrange meeting activities, including reserving conference rooms and hotel sites, making catering and Audio-Visual arrangements, coordinating meeting schedules, and preparing meeting materials.
  • Organize large department meetings as requested.
  • Prepare Vice Presidents’ travel & expense reports.
  • Manage large scale invoice processing for department, ensuring efficient and accurate entry.
  • Provide backup administrative support to other administrative staff within the PBS Digital & Marketing corporate area.
  • Perform other duties as assigned.


Requirements for success:

  • Bachelor’s degree in related field preferred. An equivalent combination of education and experience may be considered.
  • 1 year of professional office experience; public media experience or exposure a plus. An equivalent combination of education and experience may be considered.
  • Experience utilizing electronic communications systems, and using the Internet, Microsoft Outlook, and Microsoft Office
  • Experience with Mac computers a plus
  • Excellent interpersonal skills
  • Excellent communications skills, both written and verbal
  • Enthusiastic, proactive, and flexible team player who has the willingness and aptitude to acquire new skills
  • Resourceful and self-directed, with the ability to take initiative and follow-through on tasks
  • Superior organizational skills with the ability to accomplish multiple tasks and to prioritize work in a fast-paced, changing environment
  • Meticulous attention to detail
  • Familiarity with travel, conference, and meeting planning logistics
  • Interest in media and public broadcasting a plus
