Job Description

The Executive Assistant II, under general supervision, performs advanced professional assistance work for the Division of Strategy & Transformation. Maintains high-level interactions with the campus community and assists with highly confidential and critical academic and/or administrative matters. Exercises discretion and independent judgment with respect to matters of significance.

This position may pay more than the salary listed above depending on the qualifications and experience of the selected candidate.

Responsibilities

  • Provides administrative support for the Senior Vice President for Strategy & Transformation. Manages the day-to-day operations of the office to include preparation and submission of correspondence with internal and external contingents. Serves as the primary point of contact/liaison, on behalf of the Office of Strategy & Transformation to interact directly with visitors and other staff as well as university officials such as the President, Vice Presidents, Deans, Department Heads, and other administrative staff. Manages the Sr. Vice President's calendar and coordinates a full range of related logistics including travel, reservations, audio-visual, set-up and catering, agendas, documents, presentations, etc. working closely with officials, Texas A&M System administrators and other stakeholder on setting up meetings and appointments. Provide planning and logistical support for daily activities and assist with follow-up.
  • Provides customer service and supervise projects and/or students/staff for the office to ensure excellent customer service. Provides front-line service by troubleshooting issues, responding to requests, resolving problems, interpreting policies and procedures and recommending solutions as it relates to the day-to-day operations. Work with staff in Strategy & Transformation and the reporting units to ensure compliance with all policies and procedures. Serves as the liaison for the department contracts. Update divisional website, reports/training calendar.
  • Formats, types, and edits materials, including, contracts, calendars, letters, memoranda, agendas, minutes of meetings, reports, and schedules. Assists in the development and preparation of reports, Board items, collect data, and perform research on a variety of matters as directed. Manage final document correspondence review to ensure completeness, accuracy, and consistency with University guidelines.
  • Acts as a primary filter for a high volume of confidential information and provide administrative support for generating correspondence, developing presentation and meeting materials, maintaining databases. Manages the flow of paper mail and files. Serves as a key member of Strategy & Transformation team. Coordinates and monitors action items, deadlines for reports, and other projects, conducts research as needed.
  • Performs other duties as assigned.

Required Education & Experience

  • Bachelor's degree in applicable field or equivalent combination of education and experience.
  • Four years of related experience.

Required Knowledge, Skills & Abilities

  • Knowledge of word processing, spreadsheet, and presentation applications.
  • Ability to multitask and work cooperatively with others.
  • Interpersonal and communication skills.
  • Planning and organizational skills.

Special Requirements

  • Applicants with equivalent experience in lieu of a Bachelor's degree may be considered. One year of the related experience is the equivalent of one college year. Applicants being considered for the equivalency must have four years of related experience to meet the equivalency in lieu of a Bachelor's degree plus the minimum required years of experience. Applicants being considered for the equivalency must have a total of eight years of experience.
