Job Summary:

Our client is looking for an Administrative Analyst for a year long project in San Francisco, CA

Position Summary:

Under limited supervision, this position is to provide direct high-level executive and analytical administrative, operations, and project management support to the organization. Under the general direction of the Director of Administration, this position will provide a variety of administrative, communications and operations support to the upper management.

This position will support the Senior Associate Vice Chancellor and Chief Financial Officers scheduling needs, special projects, correspondence and communications, and all other matters that require handling by the Executive Assistant.

The position must bring excellent time management, problem solving and critical thinking skills, be a self-starter, able to adapt to rapidly changing priorities in a fast-paced work environment, able to work independently or with minimal supervision, and exercise judgment in selecting methods, techniques, and evaluation criteria for obtaining results.

Desired Knowledge, Skills And Abilities

  • Proven experience in administrative roles within higher education and a focus on operations and finance with 3-5 years of executive support.
  • Advanced skills and knowledge of Microsoft Office programs, particularly Outlook, Word, PowerPoint, Excel and Visio.
  • Interpersonal skills including solid verbal and written communication, active listening, critical thinking, and persuasiveness.
  • Knowledge of a variety of administrative operational activities such as event planning, inventory management, website design, and developing and updating administrative guidelines.
  • Solid knowledge of common University-specific computer application programs.
  • Ability to use discretion and maintain confidentiality.
  • strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Ability to adapt to changing priorities.
  • Proficient in formatting and analyzing data. It is important that they can draw inferences and cause/effect relationship from available information or data, and then apply it in the review and analysis of organizational and administrative problems. They must also be able to recommend and implement effective courses of action.
  • Must be organized, able to plan, develop, and manage multiple deliverables. Must also have the ability to establish priorities and work with multiple deadlines.
  • Takes initiative and is accountable for tasks, while also being resourceful in identifying resources when solving common problems or providing advice.
  • Comparable system skills.
    • Proven ability to learn various systems, and perform efficiently
    • Technical familiarity with systems back-end; ability to understand a system once becoming familiar with it
