Overview: This individual has primary responsibility for oversight and implementation of proposal planning, writing, internal delivery, tracking, and timelines. They are also responsible for following the established process for proposal management, using proposal systems and technology, and proposal performance tracking / KPIs. This is an exciting and completely new role. We are looking for someone to help architect the role and processes around the efficient development, presentation, and tracking of proposals. The target individual has experience running a proposal operation and will bring creativity, best practices, and a desire to create something new and impactful. Responsibilities and activities include, but are not limited to:

- Lead the proposal development process from initiation to submission, coordinating with internal teams, partners, and subcontractors as needed.

- Proposal and quote template creation, compliance (general and customer-specific) and updates

- Proposal technology system usage and oversight, including creation and updating of all library content, sections, section content, update schedules and compliance.

- Proposal queue management ensuring timelines are met

- Proposal version tracking/control, updates, and archival

- Input of new proposals into the CRM system “opportunities” section

- Conduct kickoff meetings with internal teams to communicate proposal requirements, assign tasks, and set expectations.

- Collaborate with subject matter experts, technical teams, and other stakeholders to gather information and develop proposal content.

- Review and analyze new RFPs, RFQ’s, RFI’s to understand scope, timelines and other requirements

- Managing the timelines and updates associated with confidentiality agreements and master service agreements in partnership with the VP of Business Development and legal consult

- Manage, guide, and mentor business development associate/assistant proposal writer in the completion of all support tasks

- Proposal KPI reporting, including but not limited to opens, views, forwards, time spent, wins, losses and reasons.

Qualifications

  • Minimum 5+ years of proposal writing and/or management experience and/or business development preferably in the clinical trials industry
  • Bachelor's degree in business administration, communications, English, or a related field.
  • Strong project management skills with the ability to manage multiple projects simultaneously and meet tight deadlines.
  • Excellent written and verbal communication skills, with the ability to distill complex information into clear and compelling proposal content.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Sharepoint) and experience with proposal management software and CRM (Dynamics CRM)
  • Typing proficiency: minimum typing speed of 60 WPM with proper technique
  • Strong attention to detail and quality assurance, with the ability to review and edit technical and non-technical content.
  • Experience with pricing, pricing tables, calculations, conversions and related.
  • Ability to work effectively in a team environment and collaborate with cross-functional teams, including sales, marketing, technical, and executive stakeholders.
  • Self-motivated, proactive, and able to work independently with minimal supervision.
  • Flexibility to adapt to changing priorities and work under pressure in a fast-paced environment
