Key Job Functions:

As an Administrative Assistant, you will play a crucial role in providing administrative support to the accounting department. Your responsibilities will include handling clerical tasks, organizing documentation, and assisting with various accounting processes to ensure the smooth functioning of financial operations.

Key Responsibilities:

Administrative Support:

  • Provide general administrative support to the accounting team
  • Manage and organize paperwork, documents, and electronic files

Data Entry:

  • Accurately enter financial data into accounting software or databases
  • Maintain and update accounting records on an ongoing basis

Communication:

  • Act as a liaison between the accounting department and other internal departments
  • Communicate with vendors, clients, and employees regarding financial matters

Documentation and Filing:

  • Organize and maintain accounting documents, invoices, and receipts
  • Ensure proper filing and documentation of financial records

Invoicing:

  • Assist in the preparation and distribution of invoices to clients
  • Monitor and follow up on invoice payments

Expense Management:

  • Support the processing of employee expense reports
  • Verify expense receipts and compliance with company policies

Assist in Month-End Closures:

  • Support month-end closing activities by preparing necessary documentation

Customer Service:

  • Address inquiries from clients, vendors, or internal staff regarding accounting matters

All other duties as assigned.

Qualifications & Work Experience:

To perform this job successfully, the candidate must be able to perform each essential duty satisfactorily (with or without an accommodation). The requirements listed below are representative of the knowledge, skill, and/or ability required.

High school diploma or equivalent; additional education or certification in accounting is a plus.

Proven experience in an administrative or support role, preferably in an accounting environment.

Basic understanding of accounting principles and procedures.

  • Superior organizational skills including attention to detail and time management.

Important Notes

Position Details: This is a full-time hourly (non-exempt) position (40+ hours/week).

Pay: This pay does not include any opportunity for incentive compensation and is only reflective of the base pay for this position.

The range of pay for this California-based position is $23.00-$26.00 per hour

Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear.

The employee frequently is required to stand; sit; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is regularly required to push, move, lift or otherwise bear 10-30lbs. Applications may include but are not limited to repetitive work using a computer keyboard, mouse and headphones while sitting and/or standing at an assigned work desk area.

Work Environment: The employee works in an office/administration building in an urban industrial neighborhood. Other areas within the school are mixed use such as classrooms, welding and machining areas.
