Job Summary

The Executive Assistant to the CFO will possess polished executive administration skills and experience, a deep understanding of serving as a gatekeeper and right-hand to a chief executive, and strong paralegal skills for working with contracts. The role requires expertise in supporting negotiations and business dealings, exceptional calendar management abilities for handling complex scheduling, a solid understanding of accounting principles and financial reporting, and experience in managing investor relations with key stakeholders and lenders. This position demands exceptional multitasking capabilities, high attention to detail, strong follow-up and follow-through skills, a high capacity for task management and accountability to produce results, leadership in collaborating with a team of high-performance professionals, and the ability to support and coordinate with lower-level assistant team members. Proficiency in communicating and presenting data is also essential.

Duties And Responsibilities

  • Executive Support:
  • Provide extensive administrative and business support to the CFO and Executive Team.
  • Manage the CFO's intense executive calendar, scheduling and attending important appointments.
  • Attend and lead meetings on behalf of the CFO, ensuring core objectives are met and team members stay on task.
  • Promptly answer phone calls, text messages, and respond to emails in a timely manner using excellent communication skills.

Investor Relations:

  • Work with Investor Relations, including managing prospectus, agreements, organizing pitches, managing lenders, and handling due diligence documentation.

Financial Management:

  • Handle and understand important financial statements and models while supporting the CFO in achieving core company financial goals.
  • Support the accounting and finance office and related staff members.

Legal and Contract Management:

  • Work with important legal contracts, corporate attorneys, third parties, and professional services to ensure the CFO executes key agreements.

Travel and Event Planning:

  • Plan complex travel arrangements (airfare, lodging, ground transportation, meals, etc.).
  • Plan, coordinate, and host private events, small company gatherings, business retreats, etc.

Representation and Communication:

  • Greet visitors, host guests, attend and promote at tradeshows, conferences, and presentations, providing information, speaking confidently, and representing the Executives and the company.

Documentation and Record Management:

  • Organize and maintain research reports, files, data, passwords, confidential information, records, and expense reports.
  • Conduct research and prepare reports, summary recap notes, memos, letters, emails, and other documents as needed.

Special Projects:

  • Assist, support, and lead on special projects as needed.

Education/Experience/Requirements

  • Bachelor's degree or higher required, preferably in Finance, Accounting, Legal, or Business Administration.
  • 10+ years of experience assisting a C-Level Executive.
  • Highly detail-oriented, multitasker, analytical, problem solver, and always 2-3 steps ahead.
  • Professional presentation and a high degree of professionalism are required due to the frequency of meetings.
  • Strong understanding of financial statements, financial modeling, accounting reports, investor relations, legal contracts, and transactional documents.
  • Must maintain confidentiality at all times.
  • Extremely proficient in Microsoft Office suite, including Outlook, Excel, PowerPoint, Teams, and OneDrive.
  • Reliable transportation required.

Working Conditions: This position will require occasional evening and weekend work. The role involves traveling to various locations for meetings, events, and other tasks as needed. Flexibility and a high level of commitment are essential.
