Job Summary

Performs a variety of legal secretarial duties as well as paralegal-related tasks under the supervision of an attorney and Business Legal Operations Supervisor. Secretarial duties may include but are not limited to maintaining the attorney/s calendar by planning and scheduling conferences, teleconferences, depositions, travel, court appearance dates, etc. Also responsible for opening and closing of case files. The role may have annual billing requirements based on the full-time work week.

Key Responsibilities:

Keeps cases organized by:

  • Establishing and organizing files.
  • Processing voluminous mail and faxes.
  • Monitoring calendars and meeting deadlines.
  • Documenting actions and inputting information into matter management systems.
  • Confirming case status with the attorney.

Helps develop cases by:

  • Maintaining contact with people involved in the case.
  • Drafting discovery requests and responses.
  • Coordinating record retrieval.
  • Drafting and forwarding legal pleadings, briefs, correspondence, memoranda, reports, discovery notices, depositions, jury instructions, subpoenas, responses, and motions.

Prepares matters for trial by:

  • Preparing exhibits.
  • Scheduling witnesses and ensuring they are ready when needed.
  • Attending interviews/meetings with clients and/or witnesses as necessary to ensure proper case development.
  • Coordinates and schedules depositions, hearings, motions, arbitrations, mediations, judicial conferences, and meetings with clients, doctors, and other counsel for assigned attorneys.

Maintains working knowledge of each assigned file, including:

  • Basic facts of the matter and parties involved.
  • Status of pleadings and discovery.
  • Mediation, arbitration, or trial status.

Understands and maintains confidentiality regarding:

  • Attorney-client relationships, HIPAA, trial strategies, ethics rules.
  • Identities of plaintiffs, defense clients, and claims.
  • Reviews, analyzes, and/or summarizes medical records and/or written discovery responses to prepare condensed reports for evaluation by attorneys and claims representatives.
  • Performs other duties as assigned.

Knowledge, Skills, and Ability:

  • Verbal and written communication skills for contact with employees, attorneys, clients, and customers.
  • Research and legal administration skills.
  • Strong organization, planning, and attention to detail.
  • Ability to maintain confidentiality.
  • Proficiency in operating personal computers and related legal and business software.

Experience:

  • Three years of experience as a legal secretary or paralegal in a law office, or experience in insurance defense litigation.
  • General law office operations, practices, and procedures related to civil litigation.
  • Strong understanding of legal concepts, terminology, and processes.
  • Working knowledge of filing procedures for relevant courts and administrative agencies.

Education:

  • Undergraduate studies in business administration, insurance, or related areas preferred.
  • Legal secretarial training preferred.
  • Certification in paralegal studies or equivalent experience is highly valued
