Job Summary

The Back Office Supervisor is responsible for oversight of all medical back-office operations pertaining to the Medical Assistants (MA) scope of practice, including direct supervision of the Medical Assistant (MA) team, medical supply inventory/ordering, and oversight of medical workflows to optimize the patient experience. The Back Office Supervisor is a member of the site leadership team to hire/train/support staff, lead daily clinic operations, including creating and managing the daily MA staff schedule, and support organizational goals. The Supervisor provides support for special projects as directed by the practice manager.

Education

  • High school graduate or equivalent.

Preferred:

  • Associate’s degree in a healthcare related field, or equivalent experience working 2 years or more in the medical or equivalent department.

Experience

  • Supervisory experience at the department level (2 years).

Preferred:

  • Three (3) years progressively more responsible work experience in a health care office environment.
  • Experience with LEAN methodology a plus.
  • Experience in a multiple provider medical practice.
  • Working with insurance/billing in a healthcare setting/insurance organization.
  • Healthcare information systems, such as electronic health record and practice management systems experience.
  • Working with low income, multi-ethnic populations.

Credentials

  • Certified Medical Assistant - license with the State of Washington.
  • Basic Life Support for Healthcare Providers (CPR/AED) certification - must be obtained within 45 days of employment.

  • Driver's license with the State of Washington.

Job Specific Functions/Performance: Back Office Supervisor

  • Responsible for and supervises the functional area and MA staff, as assigned.
  • Identifies and plans for clinical staffing needs and proactively takes appropriate action.
  • Prepares MA schedules and assigns work to staff; evaluates daily workload, workflow, and adjusts staff assignments accordingly.
  • Responsible for personnel management and hiring of support staff within functional area.
  • Ensures clinic/practice reports are completed and processed in a timely manner.
  • Ensures that clinic/practice supplies are ordered timely and manages inventory of items stored at the clinic.
  • Ensures patient appointments are efficiently scheduled.
  • Assists in direct patient care, as needed.
  • Assists with the development of workflows meant to improve efficiency and accuracy using LEAN methodology.
  • Works collaboratively with the clinic Registered Nurses and the Clinical Quality Team to increase compliance with quality measures and areas related to infection control.
  • Works collaboratively with the clinic Registered Nurses and the Clinical Quality Team to assess the skill level of medical assistants and mentor as appropriate.
  • In partnership with the Lead Medical Assistant, conducts new medical assistant job-specific orientation and onboarding.
  • Responsible for all duties assigned to the role of the Immunization Coordinator.
  • Responsible for monitoring compliance with storage, maintenance and quality controls required for point of care testing.
  • As needed, provides coverage for breaks, lunches and PTO.
  • Adheres to organizational infection control practices and written plan.
  • Adheres to attendance standards in order to perform the job functions for daily operations and/or continuity of patient care.
