PotomacWave is seeking a Meeting Facilitator to join our team supporting a Federal client in Washington, DC. This position will provide support in the planning and facilitation of various types and sizes of meetings, including focus groups, workshops, committees, Board meetings, and community of practice sessions.

Responsibilities:

  • Facilitate and manage meetings by organizing logistics coordination, invite management, agenda development, and preparing meeting materials and communication resources.
  • Assist with offsite planning, including developing facilitation guides and organizing note collection during meetings.
  • Provide post-meeting deliverables such as executive summaries, summaries of conclusions, recommended courses of action (COAs), and action item tracking.
  • Assist in the development of meeting materials, including PowerPoint presentations, talking points, emails, and discussion/facilitation guides.
  • Develop and support workshops, ensuring smooth execution by coordinating logistics and aligning agendas with stakeholder needs.
  • Coordinate and support senior leadership summit meetings, ensuring high-level engagement and comprehensive meeting documentation.
  • Collaborate with stakeholders to ensure the timely delivery of materials and ensure communication is clear, concise, and effective.
  • Continuously improve meeting operations by developing processes, resources, and materials to enhance meeting efficiency and productivity.


Qualifications:

  • Three (3) years of experience in meeting facilitation, program management, or related field.
  • BS/BA Degree from an Accredited University.
  • Proficiency with MS Office suite (Word, Excel, PowerPoint, Visio).
  • Experience facilitating meetings of various sizes and objectives
  • Experience developing meeting materials such as agendas, presentations, and reports.
  • Strong organizational and time management skills with the ability to handle multiple priorities simultaneously.
  • Excellent verbal and written communication skills, with an emphasis on clarity and attention to detail.
  • Proven ability to collaborate with various teams and individuals at all organizational levels.
  • Ability to work effectively in a fast-paced, evolving environment.
