Position Overview:

Folden Lane, a startup home furnishings design and manufacturing business, is seeking a dynamic, resourceful, and organized Executive Assistant to support the Founder & CEO. No two days will look the same here – if that excites you, keep reading! This role involves managing day-to-day executive-level operations, including calendar management, client meeting preparation, office administration, and special projects.

The ideal candidate will possess excellent communication skills, meticulous attention to detail & execution, strong organizational skills, and a high level of confidentiality. You will be a vital, trusted partner to the CEO, the global team, and all internal and external stakeholders.

Key Responsibilities:

1.Executive Support:

  • Manage the CEO’s calendar, coordinate complex schedules, meetings, and travel (domestic and international).
  • Serve as a gatekeeper, prioritizing the CEO's time across business and personal commitments.
  • Oversee email and phone communications, draft responses, and flag urgent matters.
  • Prepare reports, presentations, and meeting agendas, ensuring follow-up on key action items.

2.Project & Operations Management:

  • Lead and track strategic projects, ensuring deadlines are met and cross-functional collaboration is smooth.
  • Coordinate client meeting preparation, investor communications, and ad hoc/miscellaneous updates on behalf of the CEO.
  • Manage weekly global team huddles, prioritize tasks across functions, and drive cultural initiatives.
  • Oversee onboarding, hiring processes, and the new associate pipeline. Be gatekeeper of our global brand training manual.

3.Business, Travel & Office Management:

  • Handle travel arrangements for the CEO (domestic & international) and clients, coordinating logistics for meetings.
  • Manage personal (CEO) and business finances, including expense tracking and budget oversight. Responsible for office upkeep including management and ordering of supplies, necessary technology, tools for all stakeholders.
  • Manage all inbound and outbound samples/packages into Brooklyn HQ (new products, client samples, swatch, production samples, etc).

4.Operational Coordination:

  • Act as a liaison between teams, maintaining communication across departments.
  • Manage internal systems, databases, and ensure the procurement of necessary resources.

5.Confidentiality & Discretion:

  • Handle sensitive business and personal information with the highest level of confidentiality.
  • Maintain professionalism when interacting with high-profile individuals.

Qualifications:

  • Education: Bachelor’s degree preferred.
  • Experience: 4-7 years supporting C-level executives, ideally in a fast-paced, startup environment.

Skills:

  • Exceptional organizational skills and attention to detail.
  • High emotional intelligence, problem-solving abilities, and discretion.
  • Strong written and verbal communication skills.
  • Proficiency in Google Suite, Microsoft Office, project management tools, and CRM systems.

Preferred Qualifications:

  • Background in meeting planning, trade shows, mastering complex calendars, or project management.
  • Experience in consumer products, supply chain, finance, or family office settings.
  • Experience working at a startup (global teams) & entrepreneurship is a must!
