The Opportunity:

The Encompass Administrator is responsible for the ongoing administration and optimization of the Encompass system and related applications. This includes designing, documenting, configuring, testing, and deploying system enhancements to support operations, sales, brokers, and correspondents. The Encompass Administrator acts as the primary liaison between business units and vendors/developers, ensuring effective delivery of technical solutions. They also play a key role in user training and ongoing system support.

This is a Full-Time/Hybrid opportunity offering competitive pay ranging from $90,000-$110,000 annually.

Key Responsibilities:

Encompass Administration

  • Maintain and manage the document library, DDM, custom documents, eFolder settings, custom fields, and input forms
  • Design, test, and implement field triggers, data entry rules, and milestone completion logic
  • Manage system enhancements, including testing new functionality, deploying to production, and communicating changes to end-users
  • Integrate and manage third-party vendor services, ensuring smooth user access and functionality
  • Create workflow rules, pipeline configurations, system settings, loan templates, fee templates, custom reports, and data extracts
  • Oversee user account administration, roles, permissions, and settings, ensuring appropriate access for onboarding and offboarding
  • Train Application Support on system configurations, workflows, and business rules
  • Provide technical assistance and guidance to the Applications Support Specialist
  • Troubleshoot and resolve system issues, collaborating with vendors when necessary
  • Lead change management initiatives, ensuring system updates are well communicated and aligned with business priorities
  • Assess and coordinate vendor deployment cycles or integration updates by reviewing release notes, scoping and testing

Business Systems Analyst

  • Work with management, clients, internal users, and third-party vendors to create project evaluations, business requirements documents, project summaries, project plans, workflow diagrams, and use cases for system implementation and enhancements.
  • Understand JMAC Lending's systems, applications, platforms, and integrations to ensure that the most effective solution decisions are made.
  • Understand employee and business partner needs to create a better and more functional user experience.
  • Provide user and technical expertise for system and feature implementations.
  • Work with external and internal clients to identify systems and process enhancements that will enable new business opportunities, improve business efficiency, and enhance user experience.
  • Elicit and document business opportunities or gaps, and high level and detailed requirements at a program and project level
  • Ensure training of business users and support staff has taken place in order to prepare them to support release.
  • Develop and oversee User Acceptance Testing (UAT) plans, coordinate testing, and document test results of new systems functionality and processes, and triage any UAT defects.
  • Develop, maintain, and update system documentation and training material
  • Complete validation testing on new feature enhancements with business stakeholders and communicate business and technical feedback with development staff for implementation

Resolve Applications Support Tickets - Tier I & Tier II

  • Train Application Support Specialist to manage Tier I support for lending systems
  • Provide Tier II support for lending systems and Tier I support for lending systems.
  • Manage and prioritize help desk requests, clearing tickets in a timely manner
  • Resolve internal support issues by troubleshooting and implementing solutions in a timely manner, escalating to the software vendor as needed


Requirements

  • At least 2 years of experience as an Encompass Administrator; experience with TPO is a plus!
  • More than 2 years of experience as a Business Analyst within the mortgage industry
  • Comfortable using project management and ticketing systems
  • A solid understanding of Encompass APIs
  • Excellent communication skills, with the ability to share technical concepts with both technical and non-technical folks
  • Strong analytical and critical thinking skills
  • Great multitasking and time management skills, able to juggle multiple projects and meet deadlines
  • Demonstrated troubleshooting and problem-solving skills in a dynamic environment
