Job Description:

Under the supervision of the Chief Operations Officer, the Data Specialist will assist with data entry and data management within the data systems of Journey s End. The purpose of this position is to provide administrative support to all agency programs and ensure data and documentation are tracked per funder and agency guidelines. The Data Specialist will play a crucial role in supporting the agency s mission by ensuring data integrity and availability. Attention to detail, efficiency at data entry, and consistency are important Data Specialist skills. Strong organization and time management skills are also highly valued.

The Data Specialist must exemplify Journey s End s core values in their work. These values include intercultural responsiveness, integrity, person-centered, empowerment, and exemplary service.

Goals of Position:

  • Provide administrative support, including data collection, data entry, data cleansing, document scanning and uploading, and running reports to support the work of program staff, primarily focusing on Resettlement and Employment programs.
  • Maintain clear and open communication with supervisor
  • Maintain quality assurance protocols
  • Recommend and implement changes to improve the efficiency of existing data processes and procedures to enhance and sustain the organization s capacity
  • Participate in agency operations improvement efforts as a member of the operations team

Daily and Monthly Responsibilities:

  • Accurately input various data sets into our databases and systems
  • Handle confidential information with utmost security and discretion
  • Perform real time quality control on data entry and scanned images
  • Partner with cross-functional teams in improving communication, procedures, and systems
  • Assist with data reporting
  • Prepare and present reports to the Chief Operations Officer
  • Participate in and/or coordinate special projects:
    • (special projects may include but are not limited to beneficiary surveys, preparing for monitoring, training staff on data entry/data systems)
  • Other duties as assigned.

Qualifications:

  • Associate s Degree or relevant experience
  • Exceptionally detail-oriented, and able to work efficiently with a high degree of accuracy
  • Ability to work independently and stay focused on tasks, and able to communicate effectively with diverse groups of people
  • High level of computer literacy, including online databases and scanning equipment
  • Integrity, positive attitude, mission-driven, and self-directed with demonstrated passion for Journey s End mission and commitment to working collaboratively
  • Basic understanding of relational databases
  • Team player, who can interrelate and operate effectively with peers and other associates within a collegial yet demanding work environment
  • Impeccable integrity
  • Strong analytical skills; basic business intuition, and common sense
  • Strong work ethic
  • Previous experience in records management preferred
  • Experience with the New York State BIN system and/or Eccovia ClientTrack a plus, but not required.
