Obstetric fistula is a childbirth injury that occurs when a woman has a prolonged, obstructed labor but is unable to access emergency obstetric care. As a result, the woman can develop a fistula—a hole between her vagina and her bladder or rectum. Perineal tears are another type of childbirth injury, similar to fistula. If left untreated, a fistula or perineal tear will cause a woman to leak urine, stool, or both for the rest of her life. At least one million women suffer needlessly from these devastating conditions across sub-Saharan Africa and Asia. The only cure for either condition is surgery. We partner with local teams in more than two-dozen countries to find women in need of repair surgery, provide care, free of charge, and support women’s reintegration into society.

The Opportunity

We are seeking a detail-oriented administrative assistant with experience in a customer (or donor) service role. This position has been created to help support the workload brought on by an increase in year-end giving. In this role, you would process donations, update donor records, interact with donors who reach us via email or phone, and you would reach out to donors via email or letter to convey our gratitude to them. You would also assist with special mailing projects that inform our constituents about our new initiatives.

In this position, you would report to the Director of Fundraising Operations, and work as part of a donor relations team. This is a temporary, non-exempt position that is anticipated to run from Nov. 1, 2024 to Jan. 15, 2025, with the possibility of becoming a long-term arrangement. We are looking for someone to work full-time (40 hours a week). The hourly rate is $25/hour. This role is based in our offices in San Jose, California, and you would be expected to work in the office.

Responsibilities

The new Administrative Assistant will:

  • Work with another team member to open and sort the incoming mail. Open the mail that has donations or correspondence, sort and total all donations, sign off with another team member in the incoming mail logbook.
  • Process donations using batch entry, entering the donations into the database, handling any updates that need to be made to the donor’s record, and scanning the donation source material for our digital archives.
  • Assist with the gift acknowledgment process, sending thank-you letters and welcome materials to new donors.
  • Administrative support for large mailing projects, including quality control, calculating postage needed, stuffing materials and taking the mailers to the post office
  • Track and follow-up on returned mail, including reaching out to constituents, online research, and updating database records to reflect all interactions with each constituent.
  • Field and reply to incoming donor service inquiries that come via phone, email, or post.
  • Provide additional administrative support as needed

Qualifications

The ideal candidate for this position will have:

  • Service-oriented experience, with proven ability to meet needs of customers, clients or donors
  • Experience with a CRM database software (Raiser's Edge preferred)
  • A collaborative outlook and an eagerness to learn from colleagues; a capacity to organize time, manage diverse activities and meet deadlines
  • Excellent ability to communicate effectively, both orally and in writing
  • Proficiency with the full Microsoft Office suite
  • Demonstrates common sense and flexibility
  • Previous experience with Non-Profit work is preferred
