Purchasing Buyer Professional Core Responsibilities:

Procurement Planning / Procurement Operations Management

  • Requirements Gathering: Collaborate with project managers, engineers, and other stakeholders to understand and define procurement needs for construction projects.
  • Market Research: Conduct market research to identify potential suppliers and evaluate their capabilities, quality, and reliability.
  • Cost Analysis: Perform cost and price analysis to ensure competitive pricing and best value for the company.

Solicitation and Quotation

  • Request for Quotes (RFQs): Prepare and issue RFQs to suppliers for required materials, equipment, and services.
  • Bid Evaluation: Evaluate supplier quotations and bids, considering factors such as price, quality, delivery time, and supplier reputation.
  • Supplier Selection: Select suppliers based on bid evaluations and negotiate terms and conditions to secure favorable agreements.

Purchase order Management

  • Order Placement: Prepare and issue purchase orders (POs) to selected suppliers, ensuring all details and specifications are clearly defined.
  • Order Tracking: Monitor the status of purchase orders, ensuring timely delivery and addressing any delays or issues that arise.

Negotiation and Contract Management

  • Contract Negotiation: Lead negotiations with suppliers to secure favorable terms, pricing, and delivery schedules.
  • Contract Administration: Oversee the creation, management, and renewal of supplier contracts, ensuring compliance with company policies and legal requirements.
  • Dispute Resolution: Address and resolve any disputes or issues that arise with suppliers.

Supplier Relations

  • Supplier Communication: Maintain effective communication with suppliers to ensure clear understanding of requirements, timely responses, and resolution of any issues.
  • Performance Monitoring: Monitor supplier performance, including on-time delivery, product quality, and adherence to contract terms. Provide feedback and address any performance issues.
  • Relationship Management: Develop and maintain strong relationships with key suppliers to foster collaboration and continuous improvement.

Inventory and Logistics

  • Inventory Management: Work with inventory control teams to ensure adequate stock levels of materials and equipment, preventing shortages and overstock situations.
  • Logistics Coordination: Coordinate logistics and delivery schedules with suppliers and internal teams to ensure timely receipt of materials and equipment.

Budget and Cost Management

  • Budgeting: Develop and manage the procurement budget, ensuring adherence to financial goals and constraints.
  • Cost Analysis: Perform cost analysis to identify savings opportunities and implement cost reduction strategies.
  • Financial Reporting: Prepare and present reports on procurement expenditures, savings, and financial performance to senior management.

Process Improvement

  • Efficiency Enhancement: Identify opportunities for process improvements in procurement operations and implement changes to enhance efficiency and effectiveness.
  • Technology Utilization: Leverage procurement software and tools to streamline processes, improve data accuracy, and enhance decision-making.

Professional Development

  • Training and Certification: Stay current with industry best practices, regulatory changes, and advancements in purchasing. Pursue relevant training and certification opportunities (e.g., Certified Purchasing Professional (CPP), Certified Professional in Supply Management (CPSM)).
  • Knowledge Sharing: Share knowledge and best practices with team members and colleagues to promote continuous learning and improvement.

Stakeholder Collaboration

  • Cross-functional coordination: Work closely with project managers, engineers, finance, and other departments to ensure alignment on procurement activities and project goals.
  • Communication: Ensure effective communication with all stakeholders regarding procurement status, potential issues, and resolution plans.

People Management – Leadership Qualities

  • Team Management: Lead and manage the procurement team, providing guidance, training, and performance evaluations.
  • Professional Development: Encourage and support team members in pursuing relevant training and certification opportunities (e.g., Certified Professional in Supply Management (CPSM), Certified Purchasing Professional (CPP)).

Qualities - What We Are Looking For:

  • Bachelor’s degree in Supply Chain, Engineering, Business, or a related field is an advantage
  • 3-8 years of Purchasing experience from within the automotive, heavy truck industry, or manufacturing
  • Proficient in MS Office

  • Desire to work in a collaborative team toward a common purpose
  • Requires investigative and analytical mindset, open-minded individual willing to accept new ideas with the ability to multi-task.
