Working closely with the Project Manager and external vendors, this role serves as the university's knowledge bank post-implementation, ensuring effective use of the system and facilitating knowledge transfer. The position requires a detail-oriented individual who can communicate complex information clearly and is willing to support various stakeholders in their transition to the new system.

Essential Functions

  • Collaborate with the Project Manager and vendors to understand the new ERP system and its functionalities.
  • Analyze current data processes and workflows to identify opportunities for improvement.
  • Document ERP-related processes, configurations, and user instructions for future reference and training.
  • Serve as the primary point of contact for end-users regarding ERP system inquiries and issues.
  • Conduct training sessions for staff on the effective use of the new ERP system and related tools.
  • Develop and maintain a knowledge repository that includes FAQs, troubleshooting guides, and best practices.
  • Monitor system performance and user feedback to recommend enhancements and adjustments.
  • Assist in data migration activities, ensuring data integrity and accuracy during the transition.
  • Facilitate meetings and workshops to gather input from various departments on their ERP-related needs.
  • Maintain confidentiality of sensitive data and adhere to data protection regulations.
  • Perform other related duties as assigned.

Miscellaneous/secondary Responsibilities

  • Assist in Help Desk operations.
  • Support ongoing ERP system updates and enhancements.
  • Represent the university in ERP-related professional committees and organizations.
  • Assist in creating reports and dashboards to track system usage and performance.

Qualifications

  • Bachelor's degree in Information Technology, Data Analytics, Business Administration, or a related field, or equivalent experience.
  • Proven experience in data analysis or ERP systems required.
  • Strong proficiency in data analysis tools and methodologies, including Excel, SQL, or similar software.
  • Familiarity with ERP systems, preferably in a higher education setting, is preferred.
  • Excellent analytical, organizational, and problem-solving skills required.
  • Strong communication skills with the ability to present complex information clearly and concisely.
  • Ability to work independently and collaboratively in a team-oriented, service-driven environment.
  • Knowledge of data privacy regulations and best practices required.
  • Relevant certifications in data analysis or ERP systems (e.g., SAP, Oracle, Workday) are a plus.
