NOTE: This position has a high degree of remote flexibility once established in the role. The selected candidate will be expected to follow a hybrid work model that consists of both in-office (Reston, VA preferred) and work from home days, as needed.

Position Overview:

We are seeking a detail-oriented and collaborative candidate to ensure we meet all state prequalification deadlines, which are crucial for our ability to win and conduct work within various states. The ideal candidate will have proven experience in developing and managing timelines, and will act as the conductor, pulling together different pieces of information to meet diverse state and agency requirements.

Key Responsibilities:

  • Review Requirements: Analyze contractor prequalification requirements for state agencies, such as state Departments of Transportation (DOT), across multiple target states.
  • Develop Timelines: Create and adhere to timelines and plans to meet state prequalification and annual renewal requirements.
  • Coordinate Meetings: Organize regular meetings with key collaborators (e.g., contracts, compliance, and technical staff) to ensure accurate and timely submission of required information.
  • Process Materials: Handle materials related to the prequalification process, including technical qualifications, company information, financial packages, and state registrations/licenses.
  • Compile Documentation: Work with marketing staff, project managers, and others to compile and edit resumes, project information, and other necessary documents.
  • Ensure Accuracy: Verify that all documentation is complete, accurate, and compliant with state requirements.
  • Respond to Inquiries: Address follow-up requests or questions from state prequalification contacts and coordinate with contributors to resolve issues.
  • Maintain Compliance: Ensure annual financial and technical recertification requirements are met for all prequalified states.
  • Monitor Communications: Keep track of communications from state contacts and respond promptly to requests and changing requirements.
  • Adapt to Changes: Adjust to new opportunities or changing prequalification requirements as needed.
  • Research & Update: Research waiver and expiration dates to ensure compliance and update the CRM system to track renewals.
  • Develop Repository: Create a repository of responses to improve efficiency over time.
  • Manage Assignments: Update and maintain daily and weekly assignments, ensuring timely completion of tasks.


Minimum Qualifications:

  • BS or BA degree in business administration, business management, or public administration.
  • 2+ years of experience in regulatory, accreditation, or quality improvement.
  • At least one year of experience with SharePoint, MS Teams, and MS Office.

Pay Range - There are multiple factors that are considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align to the specified role, geographic location, education and certifications as well as contract provisions regarding labor categories that are specific to the position.

The pay range for this position based on full-time employment is :

$59,469.00 - $101,098.00
