Job Overview

CounselFi is seeking a dynamic and organized Staff Accountant and Executive Assistant who will play a key role in managing client relationships and ensuring customer success, while providing executive support to the CEO and COO. The ideal candidate will excel in balancing accounting duties with administrative responsibilities and is committed to delivering exceptional client service.

Key Responsibilities

Customer Success:

• Serve as the primary point of contact for clients, managing relationships and ensuring their needs are met.

• Oversee client onboarding processes, ensuring a smooth and efficient transition for new clients.

• Track client projects and deliverables, ensuring deadlines are met and expectations exceeded.

• Handle client inquiries, resolving issues promptly and professionally.

• Manage and optimize client workflows using our CRM and project management tools.

• Collaborate with the accounting, financial analysis, and sales teams to ensure timely and accurate client deliverables.

Client Accounting:

• Perform bookkeeping and accounting tasks for clients, including managing financial records, reconciling accounts, and preparing financial reports.

• Assist with month-end closing procedures and other accounting tasks for clients as needed.

• Oversee the invoicing and billing process, addressing any client inquiries regarding payments.

• Collaborate with internal teams to ensure the accuracy and timeliness of client financial information.

Executive Support:

• Provide high-level administrative support to the CEO and COO, including managing calendars, scheduling meetings, and coordinating travel arrangements.

• Assist in preparing materials for meetings and presentations.

• Handle confidential information with discretion and professionalism.

• Support the leadership team in various projects and tasks as needed.

• Support internal processes by identifying and implementing process improvements for greater efficiency.

Qualifications

• Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.

• Proven experience in bookkeeping or accounting roles.

• Excellent communication and interpersonal skills.

• Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.

• High proficiency with accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite.

• Experience with customer success or client management is a plus.

• Ability to work independently and take initiative in a fast-paced environment.

• Strong attention to detail and problem-solving skills.
