Compensation: Up to $120K + DOE + Health Insurance, 401K and Life Insurance
Are you a seasoned Executive Assistant with a passion for the music industry? We are seeking a dynamic and detail-oriented professional to join our team as the right-hand to the CEO of a fast-paced music management company. This role requires exceptional organizational skills, the ability to juggle multiple priorities, and a deep understanding of the entertainment industry.
Key Responsibilities:
Executive Support: Provide comprehensive administrative and logistical support to the CEO, managing complex calendars, scheduling meetings and calls, and ensuring seamless communication and coordination across the company.
Email & Communication Management: Efficiently handle the CEO’s email flow, ensuring timely responses and maintaining smooth workflow across various departments and artist teams.
Scheduling & Coordination: Oversee both professional and personal schedules, ensuring that the CEO’s time is managed effectively and that all appointments and meetings are well-coordinated.
Logistical Management: Coordinate extensive domestic and international travel, including lodging, airfare, and ground transportation, while adhering to budget and personal preferences.
Project Management: Prepare and manage monthly expense reports, organize music assets, and handle all necessary administrative tasks such as phone management, conference line coordination, and calendar invitations.
Personal Assistance: assist with all personal tasks, ensuring that the CEO’s schedule aligns with his busy family life.
Qualifications:
Industry Experience: 5-10 years of administrative experience in the music or entertainment industry.
Tech-Savvy: Proficient in Google Calendar, iCal, Microsoft Office Suite, and Google Suite. Familiarity with Adobe Suite, Google Drive, Box, Dropbox, WeTransfer, DocuSign, and Concur is a plus.
Strong Communicator: Excellent verbal and written communication skills, with the ability to handle sensitive and confidential information with discretion.
Organized & Detail-Oriented: Expertise in time management, organization, and prioritization, with a keen eye for detail.
Flexible: Ability to work nontraditional hours, including evenings and weekends, and manage tight deadlines under pressure.
Ability to manage complex travel arrangements and logistics: must have extensive knowledge of airline points and rewards programs, be adept at finding the best flights that align with a demanding schedule, and prioritize budget considerations. Additionally, the candidate must ensure seamless coordination with both business and family calendars to avoid conflicts as this boss travels frequently.
