Job Overview

The Manager, ARO/ICQA plays a pivotal role in ensuring the smooth operation of receiving offices. They lead a team of troubleshooters dedicated to resolving complex issues related to inbound logistics, inventory management, and supplier performance. Their strategic insights and problem-solving abilities drive operational efficiency while maintaining high standards of quality and accuracy.

What You Will Do
  • Lead and mentor a team of troubleshooters, providing guidance, training, and support to ensure optimal performance and effective collaboration.
  • Identify and analyze issues impacting receiving operations, such as inventory discrepancies, supplier delays, transportation challenges, and quality concerns. Develop and implement solutions to address root causes and prevent recurrence.
  • Continuously evaluate receiving processes and procedures to identify areas for improvement. Collaborate with cross-functional teams to implement enhancements that streamline operations, reduce costs, and increase efficiency.
  • Collaborate closely with suppliers to address performance issues and ensure vendor accuracy compliance. Implement corrective actions as necessary, building strong relationships based on trust, transparency, and mutual benefit.
  • Utilize data analytics tools and methodologies to monitor key performance indicators (KPIs), identify trends, and measure the effectiveness of receiving operations. Generate reports and insights to support data-driven decision-making.
  • Conduct vendor compliance audits to ensure accuracy and adherence to purchase orders, contracts, and quality standards. Identify discrepancies, errors, and variances in received quantities, pricing, and specifications. Investigate root causes and implement corrective actions.
  • Collaborate with ICQA teams to oversee inventory levels and accuracy across multiple locations and warehouses.
  • Investigate and resolve purchase order discrepancies, including quantity discrepancies, pricing errors, and delivery delays. Implement preventive measures and process improvements to enhance purchase order accuracy and efficiency.
  • Conduct research and analysis to identify expense offsets, duplicate payments, and billing errors. Work with vendors and internal stakeholders to validate findings and initiate reversals or credits.
  • Foster strong partnerships and effective communication with the Accounts Payable team. Collaborate on shared goals, processes, and initiatives to streamline invoice processing and payment reconciliation. Provide support and expertise on inbound receipt audits, inventory-related transactions, and expense reconciliation efforts.

Leadership and Team Management: Demonstrated experience in leading and mentoring teams, with a proven ability to drive performance improvement and foster a collaborative work environment.

Analytical Skills: Strong ability to analyze complex data sets, identify patterns, and develop actionable insights to resolve issues and optimize operations.

Problem-Solving: Expertise in identifying and addressing operational issues related to inventory management, supplier performance, and inbound logistics, with a focus on developing effective solutions that prevent recurrence.

Process Improvement: Ability to continuously evaluate and enhance receiving processes, implementing improvements that streamline operations, reduce costs, and increase efficiency.

Supplier Relationship Management: Proficiency in building and maintaining strong relationships with suppliers, addressing performance issues, and ensuring vendor accuracy and compliance.

Data Analysis and Reporting: Competence in utilizing data analytics tools and methodologies to monitor key performance indicators (KPIs), generate reports, and support data-driven decision-making.

Communication and Interpersonal Skills: Excellent communication skills, with the ability to effectively collaborate with internal and external stakeholders across all levels of the organization.

Technical Proficiency: Proficiency in Microsoft Office Suite and supply chain management software (e.g., SAP, Oracle), enabling efficient management of receiving operations and related processes.

Attention to Detail: Strong focus on accuracy and quality, particularly in conducting vendor compliance audits, resolving purchase order discrepancies, and managing expense offsets and billing errors.
