The role of the Technical Program Coordinator is to coordinate and maintain travel, hotel accommodations and transportation logistics for each assigned POD TOD, TOM, Environmental Manager, Electrical Manager, Hotel Superintendent, Safety Manager and ATOM, including any general contractor and vendors needed for technical operations. The coordinator is accountable for managing all cabin and travel resource requirements for each assigned POD. The Technical Program Coordinator will work to build and develop strong relationships with various vendors and maintains guidelines and procedures that meet set policies and service standards. This is a hybrid, temporary assignment for busy season.

Essential Functions:

  • Arrange all travel for general contractors/vendors including but not limited to: Flights, hotels, local transportation. Manages all communications for onboarding of technicians.
  • Manage all email communication & correspondence to local agents for work permits, travel letters, joining letters, OK to board letters, clearances for operations with local authorities, coordination of ground transportation as needed. Formal letters required by local authorities to justify means of entry/fees charged.
  • Prepare and track letters issued to vendors for individual contractors to obtain proper visas and immigration documents in order to request B1/B2 work visas for entry to USA.
  • Maintain EBL system updated with most recent migratory status/numbers and visa requisites.
  • Collect individual passport and confidential information for each traveling technician. Maintain CPS system updated.
  • Manage crew cabin requests for POD as needed. Request and track cabin status in cabin portal. Maintain request with joiner personal information as it is received. Continuously update needs based on number of joining contractors and change of dates as needed. Provide ships with completed information 15 days prior to joining as mandated by policy. Request guest cabins as needed.
  • Work with key internal stakeholders including travel dept/shipboard HR/cabin team/Hotel refurb/Marine Ops.


Qualifications:

  • High School Diploma or equivalent required; higher edu preferred.
  • 2+ years of coordinating travel or event management, customer service preferred.
  • Experience with Microsoft Office, Outlook, Word, PowerPoint and Excel.
  • Ability to work onsite in Miami/Doral.
  • Comfortable working a temporary role.
  • Good understanding of ship operations, familiarity with visa types/requirements highly preferred.
  • Ability to thrive in a fast-paced environment, while prioritizing workloads. Excellent interpersonal skills and the ability to work with various teams. Problem-solving skills to research and resolve discrepancies. Strong attention to detail. Outstanding written and oral communication skills. Strong organizational skills and proven ability to manage multiple priorities concurrently. Geographical knowledge required.


The pay for this position is $20 an hour, paid every Friday.
