WBS, a subsidiary of WEC Energy Group, is seeking a Executive Assistant in our Milwaukee, Wisconsin location.

Job Summary

The principal role of this position is to perform administrative duties for the Vice President and Deputy General Counsel, as well as oversee department operations. Responsibilities include planning, organizing, scheduling and coordinating a wide variety of work assignments, routinely involving highly confidential matters. The executive assistant is expected to proactively monitor and ensure timely response to executive and legal issues, and will interact frequently with company personnel at all organizational levels. In addition, the executive assistant is responsible for the timely review and payment of legal invoices, and will interact with the company’s law firms and various other third parties.

The position will offer you the opportunity to partner with our senior leaders and others and support the company’s strategic priorities. We are looking for someone who is dynamic, experienced, customer-focused, and has strong interpersonal skills and a high business acumen.

Job Responsibilities

  • Manage the calendar of the vice president and deputy general counsel, including scheduling meetings and resolving conflicts, and assist with time entry.
  • Work with attorneys to review and process law firm invoices using legal invoice processing system.
  • Primary contact internally and externally for legal group with respect to all administrative and related matters.
  • Make travel arrangements as needed, submit receipts for payment, order supplies, and fulfill miscellaneous other administrative duties as assigned.
  • Assist with department budgeting and forecasting responsibilities.
  • Manage a variety of files, both routine and highly sensitive.
  • Draft reports and spreadsheets that track legal spend for various matters and in a variety of ways.
  • Follow up on assignments and administrative matters with deputy general counsel and others to ensure deadlines are met.
  • Draft letters, emails and other correspondence as requested.
  • Proofread and finalize documents drafted by others.
  • Prioritize and manage multiple projects simultaneously.
  • Act as back up for legal assistant, as needed.
  • Coordinate departmental meetings and functions as well as some inter-departmental meetings.


Minimum Qualifications

  • 3+ years’ experience providing high level administrative support, preferably in corporate legal setting.
  • Demonstrated ability to manage multiple priorities and a wide variety of assignments with tight deadlines.
  • Experience in the appropriate handling of discreet and highly confidential matters.
  • Excellent interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside vendors and community leaders.
  • Demonstrated skills in customer service, accountability for assignments, attention to details and meeting commitments.
  • Excellent written and verbal communication skills.
  • Excellent organization skills.
  • Demonstrated high level of accuracy and attention to detail.
  • Proficient in Microsoft Word, Power Point, Excel, Outlook and ability to quickly become proficient in other company and department applications.
  • Demonstrated ability to work independently and as part of a collaborative team.


Preferred Qualifications

  • Experience using a legal invoice processing system.
  • Two-year degree preferred

Pay Range Minimum: $27.15

Pay Range Maximum: $44.12

The pay range reflects the minimum and maximum for the position at the time of posting and may be modified in the future. The starting salary/pay within the pay range will be based on several factors, as applicable, but not limited to, relevant education, qualifications, certifications, experience, skills, geographic location, shift, travel requirements, collective bargaining agreements, and business and organizational needs. At WEC Energy Group, it is not typical for an individual to be hired at or near the top of the range for their role.
