Personal Assistant to the CEO About Us:

We are a dynamic pharmaceutical consulting firm dedicated to advancing healthcare solutions and improving community health outcomes. Our CEO is a visionary leader who requires a dedicated Personal Assistant to support her in all aspects of her personal and professional daily routine.

The Ideal Candidate:

The ideal candidate is a detail-oriented self-starter with prior experience supporting high-level individuals in both personal and professional capacities. Experience in the pharmaceutical and/or consulting industry is a plus. The candidate should exhibit sound judgment with the ability to prioritize and make decisions, thrive in a fast-paced environment, and be energetic and eager to tackle new projects and ideas. Comfort in interacting with high-profile individuals and being a team player capable of cultivating productive working relationships is essential. A resourceful can-do attitude is a must.

Primary Duties and Responsibilities:

· Personal Calendar Management: Maintain the CEO’s personal and professional calendars, including scheduling appointments, events, and engagements. Exercise judgment in committing time and evaluating needs.

· Travel Coordination: Arrange personal and business travel plans, itineraries, and accommodations. Ensure all details are managed efficiently.

· Personal Correspondence: Manage personal correspondence, including emails, letters, and invitations. Handle responses and communications on behalf of the CEO as appropriate.

· Confidentiality: Maintain the highest level of confidentiality and discretion in handling personal and sensitive information.

· Event Planning: Assist in planning and organizing personal events and gatherings.

· Administrative Support: Provide administrative support as needed, including filing, organizing documents, and managing personal files.

· Liaison Duties: Serve as a liaison between the CEO and personal contacts, family members, and service providers.

· Priority Management: Provide a summary of top personal priorities at the beginning and end of each day.

· Expense Management: Prepare, reconcile, and submit personal expense reports.

· Technology Management: Assist with managing personal devices, applications, and ensuring technology is up-to-date.

Skillset and Background:

· Education: Bachelor’s degree preferred but relevant experience is considered more important.

· Experience: Three to five years of prior experience supporting a senior executive or individual in a personal assistant capacity.

· Computer Skills: Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) and comfortable with various personal management apps.

· Communication Skills: Exceptional writing, editing, and proofreading skills; excellent written and verbal communication skills; and strong interpersonal skills.

· Organizational Skills: Excellent organization, time-management, and multi-tasking skills with attention to detail.

· Transportation: Reliable transportation required.

· Location: Work zip code is 20011. The position requires three days in the office and flexibility to assist outside standard working hours as needed.
