We’re looking for a proactive and organized Operations Coordinator to help drive efficiency and support our leadership team. This role will be essential in keeping our operations running smoothly as we scale. You’ll be wearing multiple hats, from managing key financial processes to supporting recruitment and executive operations.

Key Responsibilities:

Executive Assistant Support:

  • Coordinate and schedule meetings for the leadership team.
  • Prepare necessary materials for meetings, including agendas and presentation decks.
  • Book travel arrangements and manage trip logistics.
  • Organize office supplies, manage office-related activities, and ensure smooth day-to-day operations.
  • Coordinate swag orders for team members, clients, and events.

Social Media Management:

  • Develop and implement social media strategies aligned with company goals
  • Create and curate engaging content for various social media platforms
  • Monitor social media channels and respond to inquiries in a timely manner
  • Stay up-to-date with social media trends and best practices

Finance Operations:

  • Manage accounting processes through Pilot.com.
  • Oversee spend management using Ramp.
  • Handle payroll processing through Rippling, ensuring timely and accurate payments.

People Operations:

  • Plan and execute recruiting events to attract top talent.
  • Coordinate candidate outreach and manage scheduling via CEO’s accounts.
  • Support the recruiting team with logistics and follow-ups.

General Operations:

  • Implement and optimize operational processes to increase efficiency
  • Act as a point of contact for vendors and external partners
  • Assist in special projects as needed

Qualifications:

  • 2+ years of experience in an operations, executive assistant, or similar role.
  • Strong organizational skills and attention to detail.
  • Proficient with tools like Google Workspace, Microsoft Office, and project management platforms.
  • Familiarity with major social media platforms and social media management tools
  • Understanding of social media best practices and trends
  • Familiarity with finance platforms such as Ramp, Rippling, and Pilot.com is a plus.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • A positive attitude and a strong sense of ownership over tasks.
