Position Summary:

We are seeking an experienced and detail-oriented Senior HVAC Technical Documentation Specialist to join our team. This role is essential to ensure the creation, maintenance, and management of high-quality technical documentation for our HVAC products, including but not limited to Cutsheets, Installation and Operating Manuals (IOMs), service manuals, troubleshooting guides, product data sheets, and technical how-to video scripts.

As a key member of our team, you will work closely with the VP of Product, our lead technician in the US, and a product specialist based in Italy. Your documentation will cater to contractors, engineers, and end-users, and should be clear enough for even novice users to understand.

Key Responsibilities:

• Technical Documentation Creation:

  • Author and manage HVAC-specific technical documents, including Cutsheets, IOMs, service manuals, troubleshooting guides, product data sheets, and scripts for technical how-to videos.

  • Ensure all documentation meets the standards and requirements of the US market.

• Collaboration and Project Management:

  • Collaborate with the VP of Product, lead technician, and product specialist to gather specifications and test results.

  • Maintain a comprehensive and up-to-date change-log to track ongoing updates, ensuring the latest information is readily accessible to customers.

  • Stay informed of product changes and coordinate with the team to ensure accurate, consistent, and timely documentation updates.

• Quality Assurance and Document Control:

  • Perform quality checks to ensure accuracy, consistency, and adherence to company standards.

  • Manage document revisions, ensuring version control and timely distribution of updated documents.

  • Continuously improve documentation processes for efficiency and effectiveness.

• Documentation Management:

  • Organize and maintain a revision management system to streamline document control and ensure all technical documentation is current and available online.

  • Ensure accessibility and ease of use for contractors, engineers, and end-users by maintaining a high standard of clarity and precision in all technical writing.

Required Qualifications:

• Experience:

  • Minimum of 5+ years of direct experience writing HVAC-specific technical documentation for the US market, with demonstrated experience authoring Cutsheets and IOMs.

  • A portfolio with examples of actual Cutsheets and IOMs written is required.

• Technical Skills:

  • Proficiency in authoring software and revision management systems.

  • Knowledge of AutoCAD, SolidWorks, and InDesign is a plus.

  • Strong organizational skills with attention to detail and a proven ability to manage multiple projects simultaneously.

• Communication Skills:

  • Ability to produce clear, concise, and instructional documentation for a wide range of users, from engineers to novice end-users.

  • Strong collaborative skills to effectively work with team members across locations and departments.

• Education:

  • Engineering or technical background is preferred but not required, provided the candidate has substantial HVAC documentation experience.

Preferred Qualifications:

• Hands-on experience with HVAC installation or maintenance.

• Familiarity with best practices in document control, quality checks, and process improvements for documentation workflows.

Work Environment:

• This position is ideally based in our New York City office.
