Responsibilities
They are seeking a smart, autonomous, and proactive Office Manager to oversee the administrative operations of their Round Rock office. This individual will play a crucial role in maintaining an organized and efficient workplace, ensuring seamless coordination between various departments, including sales, technicians, and contractors. The ideal candidate will have strong decision-making abilities, a bias for action, and the ability to handle multiple responsibilities with minimal supervision. The Office Manager will be responsible for supervising staff, managing office operations, and contributing to the strategic success by providing administrative support and handling business-critical tasks.
Oversee the day-to-day operations of the office, ensuring smooth and efficient functioning.
Implement and maintain office procedures and protocols to enhance productivity and organization.
Supervise and support administrative staff, including assigning tasks, conducting performance reviews, and providing training as necessary.
Facilitate effective communication and collaboration across departments, especially between sales teams, technicians, and contractors.
Organize and lead regular staff meetings to ensure alignment and effective workflow.
Coordinate and execute office events to foster team collaboration and a positive work environment.
Assist with budget planning and monitor office expenses to ensure cost efficiency.
Process invoices and collaborate with the finance department to manage office expenditures.
Serve as the primary point of contact for office-related inquiries, resolving issues proactively and with minimal supervision.
Manage relationships with vendors and service providers, including negotiating contracts and overseeing service quality.
Ensure compliance with health and safety regulations, implementing emergency procedures, and training staff on safety protocols.
Software:
Proficient in Microsoft Office and/or Google Suite.
QuickBooks Online experience is a plus.
Familiarity with CRM systems is an added advantage.
Skills to succeed in this mission
A minimum of 5 years of experience in office management, project management, executive administration, entrepreneurship, or similar roles.
Proven leadership and team management abilities.
Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously.
Strong decision-making skills, capable of acting independently and with minimal supervision.
Excellent communication skills, both written and verbal, with the ability to interact professionally with stakeholders at all levels.
High level of integrity, ethics, and the ability to handle confidential information with discretion.
Strong customer service orientation, able to build and maintain positive relationships with internal and external stakeholders.
Workplace information
Hours per week: 20 hours
Our client requires a candidate available every day from 8 to 8:30 for a team meeting ideally in person at the office located in Round Rock.
Hourly rate starts at: $30
