Job Scope:

To provide administrative support to the HR team in all areas of the HR function.

Key Responsibilities:

  • Provide support on HR initiatives and projects
  • Provide overall administrative support to HR team to include coordination, processing and filing of employee information
  • Support of the onboarding/offboarding process with the creation of offer letters, welcome packets, onboarding documents as well as employee offboarding process and documentation
  • Lead Day One New Hire Orientations
  • Responsible for new hire onboarding
  • Facilitate employee exit meetings
  • Responsible for the ongoing administration of new hires, transfers and terminations in the payroll system to include coordination of documents with Managers and data entry
  • Responsible for IT ticket submission and tracking of employee changes
  • Assist HR team in recruitment process with job postings, resume screening, background checks and scheduling candidate interviews
  • Responsible for review, submission and tracking of hiring requests in Adobe Sign
  • Provide basic HR information about programs available to employees
  • Provide support to the HR team with the administration of Health & Wellness programs and Employee Initiatives
  • Support basic employee relations concerns and escalate when appropriate
  • Respond to internal and external HR related inquiries or requests and provide assistance as necessary
  • Processing HR vendor invoices for payment and order office supplies for HR
  • Filing, document retrieval and mail delivery
  • Assist team with coordination of employee and Company-wide events. Responsible for annual employee event calendar management
  • Management of CA required COVID case tracking and reporting to include workers compensation notification within HR team (through February 2025)
  • Assistance with HR projects as required
  • Distribution of HR and Company Communication as required
  • Perform other duties as assigned

Skills/Experience Required:

  • Minimum of three years of progressive HR experience with prior experience in an HR Coordinator role, preferred
  • BA/BS degree in Human Resources or related field, preferred
  • Prior experience with multi-state HR data entry into payroll and HR systems required. ADP Workforce Now experience a plus
  • Basic knowledge of federal, state and local employment laws
  • Prior experience managing onboarding to include background checks and I9 processing requirements
  • Prior experience with recruitment administration to include applicant tracking and job posting
  • Knowledge of employee benefits and the open enrollment process preferred
  • Detail oriented and deadline focused
  • Strong verbal and written communication skills with strong customer service focus
  • Ability to effectively interact with employees at all levels within the organization
  • Prior experience in media, entertainment or technology organizations preferred
  • Ability to be flexible and thrive in a fast-paced work environment, with changing priorities
  • Demonstrated proficiency in MS Office, including Excel, Word, PowerPoint, Outlook, SharePoint

Position Type/Expected Hours of Work:

Prompt and regular attendance is required, employees are expected to begin work at the start of their scheduled shift and to complete their assigned work shift according to the responsibilities of their position.

This position works standard business hours, but may require occasional overtime

No travel is expected.
