Job Summary

A Document Controller is responsible for maintaining organized and updated documents for Company, as well as processing all project deliverables in a timely and efficient matter between Company, client and vendors.

  • Manage the flow of correspondence in and out of the company through proper transmittals; ensure outgoing documents are accurate, comply with company standards and policies, route correspondence to correct associates; and protect and secure confidential and proprietary information.
  • Reviews and verifies project documents for completeness, format and compliance with contract requirements.
  • Submits project documentation to management team for approval and transmits approved documents to customer. Distributes documentation to the project team and customers for review and comments
  • Manage Governance level 1-2 projects independently as per applicable standards and procedures.
  • Owner of Master Document List (MDL/MDR) consisting of all project related documents.
  • Examines project documents to verify completeness and accuracy of data.
  • Guide internal/external stake holders on project and contract requirements.
  • Setup and maintain data in the Electronic Document Management System Content Server 21.2 & MS Teams.
  • Working with project team in preparation of Project Final Documentation or Dossiers.
  • Monitor status of project documentation according to schedule and follow up with client/vendor/internal team for timely delivery.
  • Attend project progress review meeting.
  • Training/supporting project participants on document control tools.
  • Supporting in training of new recruits/junior staffs
  • Identify documentation gaps and follow up with internal team, vendors and client.
  • Participate in Project Meetings and be able to provide documentation status and progress.
  • Work closely with Project Engineering to follow and amend master document list as required.
  • Communicate and collaborate with project managers

Minimum Job Qualifications

  • English Language proficient, additional languages a bonus.
  • High school Diploma or equivalent educational proficiency.
  • 2 Years Experience on project document control
  • Good command of MS Excel is a must.
