Job Summary:

The Practice Integration Manager is responsible for overseeing the integration of newly acquired and currently affiliated ENT and allergy practices into the Align ENT & Allergy network. This role is critical in ensuring that new and current practices adopt standard operating procedures, technology systems, and clinical protocols effectively and efficiently. The manager will work closely with practice administrators, clinical teams, IT, and senior leadership to ensure a smooth transition and optimize performance across all locations.

Key Responsibilities:

Practice Integration:

  • Lead the integration process for new practices joining the Align ENT & Allergy network, ensuring a smooth transition in all operational, clinical, and administrative areas.
  • Coordinate the onboarding of new practice teams, including training on practice management systems (EHR/EMR, billing, scheduling) and compliance with Align ENT & Allergy policies.
  • Standardize workflows, procedures, and clinical protocols across all integrated practices to maintain consistency and quality of care.
  • Collaborate with IT teams to ensure seamless integration of technology systems, including electronic health records (EHR), practice management software, and billing systems.
  • Identify potential barriers during the integration process and develop solutions to minimize disruption and enhance operational performance.

Operational Management:

  • Ensure that new and existing practices in the assigned geography meet operational performance metrics, including patient throughput, revenue cycle management, and staff productivity.
  • Work with clinical and administrative staff to optimize scheduling, patient intake, billing, and collections processes.
  • Facilitate the alignment of HR policies, including staff roles, responsibilities, and reporting structures.
  • Conduct regular evaluations and provide feedback to practice leadership on areas for improvement post-integration.

Stakeholder Communication:

  • Serve as the primary point of contact for practice administrators and leadership teams during the integration process.
  • Communicate progress, challenges, and timelines to senior leadership and key stakeholders.
  • Liaise with external vendors and partners as needed to ensure the integration of outsourced services or third-party software.

Compliance & Risk Management:

  • Ensure that new practices adhere to all regulatory requirements, including HIPAA, OSHA, and other state and federal healthcare laws.
  • Conduct risk assessments to identify potential compliance issues and implement corrective actions where necessary.

Training & Development:

  • Implement and oversee comprehensive training programs for clinical and administrative staff at new practices to ensure familiarity with Align ENT & Allergy systems and protocols.
  • Provide ongoing support to practices post-integration, addressing any concerns and offering guidance to improve operations.
  • Update training materials, documentation, and resources for continuous learning.

Performance Monitoring & Reporting:

  • Track and report key performance indicators (KPIs) for newly integrated practices and assigned affiliate practices including patient satisfaction, financial performance, and operational efficiency.
  • Conduct post-integration audits to assess how well new practices have adapted to Align ENT & Allergy systems and workflows.
  • Provide leadership with actionable insights and recommendations to improve integration processes for future acquisitions.

Billing & Insurance Verification:

  • Ensure that new practices are aligned with Align ENT & Allergy s billing processes, including insurance verification, claims submission, coding, and revenue cycle management. Provide training and support to staff on the correct handling of insurance claims and patient billing, ensuring compliance with payer requirements.

Requirements

Qualifications:

  • Education:
  • Bachelor s degree in Healthcare Administration, Business Administration, or a related field. Master s degree in Healthcare Management or Business is a plus.

Experience:

  • 5+ years of experience in healthcare operations, practice management, or integration management.
  • Multi-site operations in the healthcare industry is required.
  • Proven experience managing the integration of new practices, with a focus on clinical and operational systems.
  • Familiarity with ENT and/or allergy specialty practices is strongly preferred.

Technical Skills:

  • Proficiency in practice management software, EHR/EMR systems, and billing platforms (e.g., eCW, Medent, ModMed, etc).
  • Strong project management skills, with the ability to manage multiple projects and deadlines simultaneously.
  • Knowledge of healthcare regulations, including HIPAA and OSHA.

  • Ability to build strong relationships with clinical and administrative teams.
  • Problem-solving mindset with a focus on process improvement and operational efficiency.
