We are looking for a dedicated and reliable Administrative Assistant to join our team. In this role, you will be responsible for answering phones, filing, maintaining employee records, and assisting with the hiring process, among other general office duty tasks. The ideal candidate is organized, detail-oriented, and customer-focused.

- Provide administrative support to the Administrator.
- Manage the calendar, including scheduling appointments, coordinating meetings, and preparing notes, minutes, and agendas as needed.
- Communicate recruiting needs to the recruiter and collaborate with HR throughout the hiring process to stay updated on interviewing, hiring, on-boarding, transfers, and terminations.
- Assist with scheduling interviews and participating in in-person interviews as needed.
- Coordinate and file new hire paperwork related to background checks, orientation, on-boarding, and training.
- Track employee certifications, licensees, and continuing education for compliance.
- Maintain organized and up-to-date employee files, including evaluations, training records, professional licensees, and vaccination information.
- Ensure performance evaluations are completed on time.
- Maintain confidentiality of all personnel records.
- Perform general office duties such as filing, answering phones, and managing messages.
- High school diploma or GED required; an associate degree in business administration or a healthcare-related field is a plus.
- At least 1 year of administrative or clerical experience, preferably in healthcare or long-term care.
- Strong written and verbal communication skills, with the ability to handle confidential information with discretion.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and other office management software.
- Excellent organizational skills, attention to detail, and the ability to prioritize tasks and manage multiple projects.
- Ability to work independently and as part of a team in a fast-paced environment.
