Position Description
Are you a highly organized individual with a knack for technology? We’re looking for an Administrative Assistant to support our senior leadership team at our central business office in Northbrook, Illinois. In this dynamic role, you will provide vital support by managing scheduling, filing, scanning, coordinating meeting agendas, and gathering data to assist in creating spreadsheets and presentations. You’ll represent the organization as the first point of contact for internal and external queries, warmly welcoming and assisting visitors.
Additionally, you will perform basic bookkeeping and accounting functions, organize and maintain a filing system and database for current and prospective clients. Your responsibilities will also include drafting various correspondence, handling incoming calls from customers and sales representatives with professionalism, and participating in goal-driven projects while managing your daily workload. You’ll document and maintain physician information in internal and external databases, and co-coordinate company events like the annual physician education conference and company picnic.

Qualifications & Experience
- Google Suite: 2 years (Required)
- Administrative: 2 years (Required)
- Impeccable organizational skills, detail-oriented with strong ability to multitask and prioritize
- Proactive, solutions-oriented and resourceful
- Outstanding interpersonal skills with an ability to work well with individuals across the company at all levels with professionalism and respect
- High degree of initiative
- High level of discretion and confidentiality
- Strong problem-solving abilities and attention to detail
- Flexibility to adapt to a fast-paced environment with changing work priorities
