Overview
The Systems Support Administrator will work closely with our Admin group to maintain internal systems to facilitate timely creation and management of invoices, retention letters, and project logs. In addition, the individual will also support multiple practice groups with report automation and dashboard customization. This position will require extensive interfacing with internal stakeholders to respond to requests for edits/alterations to invoices and other critical documents. The Systems Support Administrator will be expected to become highly familiar with our accounting system, Sage Intacct, to effectively leverage its numerous capabilities.
The ideal candidate for this role will possess strong finance experience, strategic planning expertise, problem-solving skills, and a results-driven mindset. They should be comfortable handling confidential information, demonstrating clear and effective communication, and excel as a collaborative team player.
What You Get To Do
Collaborate with managers, administration, and accounting teams to ensure the accurate and timely generation of invoices and retention letters.
Oversee the process for editing, converting, and reversal of invoices and bills within our internal systems.
Update and maintain records of employee costs, allocation splits, and evolving revenue sharing agreements among different groups.
Management of customized dashboards and automated reports.
Responsible for generating accounting and sales reports, creating purchase orders, and performing various miscellaneous or ad-hoc data entry tasks.
Demonstrate a willingness to learn and understand complex accounting and business workflows, along with their corresponding data systems.
Ensure adherence to data security best practices across all projects.
Proactively anticipates and prepares for financial tasks and outcomes with a highly organized approach.
Requirements
What It Takes To Be Successful
Possess a basic understanding of the fundamentals of business accounting.
Demonstrated ability to learn and manage real-world internal business systems, including CRM, ERP, or BI/analytics platforms.
Strong communication skills with the ability to distill complex internal and system concepts into clear, understandable terms for stakeholders, and the ability to ask insightful, context-specific questions.
Ability to maintain confidentiality of financial and sensitive information, ensuring discretion and security at both the internal and operational levels.
Nice to have:
o Hands-on experience with accounting systems, such as Sage Intacct, QuickBooks, or SAP.
o Familiarity with time tracking, project management, and resource allocation systems, such as Replicon.
o At least 1 year of experience using and managing complex internal systems in a business environment.
o Strong knowledge of finance procedures, with experience in accounting and for-profit financials.
o Ability to identify and solve complex problems, often requiring the swift acquisition of new information and mastery of new skills.
o Excels at managing challenging and occasionally high-pressure situations with composure and efficiency.
o Consistently evaluates both current and future needs, strategically scheduling tasks to maximize efficiency and optimize performance at every level, always seeking opportunities for improvement.
Education and experience
Bachelor s or associate degree in Business, Management, Finance, Accounting, or a related field.

The below represents the expected salary range for this position in California. We take a number of factors into account when determining compensation including your location, experience, and other job-related factors.
Salary Range: $67,000 to $72,000 annually + benefits
