The Operations Administrator is responsible for overseeing and improving critical operational functions within the organization. This role requires proactive leadership in service invoicing, process enhancement, agreement management, and quality assurance. The ideal candidate will be a strategic thinker with experience in project oversight and a strong background in operational efficiency.
Key Responsibilities and Accountabilities:
- Service Invoicing Oversight: Lead and manage the service invoicing process, implementing best practices and ensuring the accuracy and timeliness of all invoices. Develop and refine invoicing procedures to optimize efficiency.
- Scheduling and NOC Updates Coordination: Strategically plan, schedule, and validate updates for the Network Operations Center (NOC), ensuring minimal disruptions and maximizing effectiveness
- Project Catalog Administration: Oversee and streamline the project catalog, identifying areas for improvement and implementing solutions to enhance project tracking and information flow.
- Agreement On/Off Boarding and Management: Develop and manage comprehensive onboarding and offboarding procedures for client agreements. Ensure all agreements are documented and executed according to company standards.
- ConnectWise Manage SME: Act as the subject matter expert (SME) for ConnectWise Manage, guiding the operations team in best practices, training team members, and addressing advanced technical and operational challenges.
- Operations Documentation Strategy: Establish and maintain a comprehensive operations documentation strategy, ensuring all policies, procedures, and workflows are current and accessible.
- Ticket Management and Review: Design and execute a thorough review process for closed service tickets, focusing on quality assurance and continuous process improvement.
- Operations Auditing and Continuous Improvement: Conduct regular audits of operational processes, identify areas of inefficiency, and lead initiatives to improve overall operational effectiveness.
- Leadership Responsibilities:
- Strategic planning: Collaborate with leadership to develop strategic plans for operational process improvement and project execution.
- Team Guidance: Provide mentorship and support to operations staff, helping them develop their skills and knowledge in operational procedures and systems.
- Decision-Making: Exercise discretion and independent judgement in handling significant operational issues, process enhancements, and key client agreements.
- Proven experience in operations, administration, or a similar role with a focus on strategic and leadership responsibilities.
- Strong understanding of ConnectWise Manage and it s applications in operational workflows and process improvements.
- Strong analytical skills with a proactive approach to identifying and solving problems.
- Exceptional organizational skills with attention to detail, with the ability to prioritize tasks effectively
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
