Description:

Goals:

The Operations Administrator is the person who handles necessary and routine tasks in the Department to enable Projects to maneuverer smoothly knowing that communication is following proper channels, database systems are populated with latest information, activity is following the proper flow, and schedule milestones are at the fore front of thinking when decisions are being made. This is a key behind-the-scenes person making sure the gears are insync and working according to plan.

Key Accountabilities:

Budget Management:

  • Track departmental spending and update actuals regularly.
  • Ensure budget adherence and provide regular financial reports to management.

Data Organization and Coordination:

  • Organize and manage data flow within the department.
  • Coordinate the dissemination of information to relevant stakeholders.
  • Maintain Centralized database of departmental information.
  • Grant and remove access to users, ensure data security & integrity.

Vehicle Management

  • Manage and control vehicle inventory based on project needs.

Logistics & Project Support:

  • Provide logistical support for department members accessing other company facilities.
  • Coordinate travel arrangements and access permissions as required.

Minimum Educational Qualifications

  • Bachelor's degree in relevant field

Minimum Experience

  • 5 years proven experience in budget management and data organization.

  • Excellent communication, both verbal and written
  • Proficiency in database and information management systems
  • Ability to work independently and as part of a team.
  • Can quickly identify resources necessary to run an event; Anticipates action Effectiveness

  • Template creation and standardization.
  • Mostly working at desk.

  • Budgets are tracked appropriately, template and powerpoint story is created for efficient explanation.
