We are seeking an organized and proactive Office and Procurement Coordinator to support our office operations and assist in various administrative tasks. This role involves managing day-to-day office needs, executing marketing and design tasks, handling procurement logistics, and supporting team activities to ensure smooth and efficient operations. The ideal candidate is detail-oriented, has excellent communication skills, and can juggle multiple tasks seamlessly. This is a hybrid position, with an average of two days per week in the office. However, there may be times when additional in-office presence is needed. This person will report to the Communications Director.

You’ll Focus On…
- Cross-Functional Support: Collaborate with other departments and provide administrative support for external visits, purchasing, and other office coordination activities.
- Supply Chain: Lead the implementation of the Rebound ERP system, overseeing end-to-end setup and configuration to optimize manufacturing workflows, streamline purchasing processes, and ensure accurate tracking and management of inventory levels.
- Marketing and Business Development: Collaborate with the Communications Director to enhance marketing materials for external and internal projects. In addition, assist as project coordinator to the marketing team to create and execute content for Rebound Studios.
- Logistics Coordination: Manage end-to-end logistics operations, including coordinating all inbound and outbound shipments and overseeing inventory to ensure accuracy and efficiency. Additionally, support nationwide large-scale product installations by organizing schedules, liaising with installation teams, and ensuring timely delivery of materials to meet project deadlines.
Required Skills and Experience
- 2+ years’ experience in office administration or office procurement experience.
- Hands on with a high level of drive, problem solving skills and integrity.
- Strong verbal/written communication and interpersonal skills.
- Competent in Microsoft Office suite and Adobe PDF.
- Familiarity with ERP system software
Preferred Skills and Experience
- Previous experience working in a start-up company where wearing multiple hats is commonplace.
- Experience with some or all the following software:
- Odoo App
- Dropbox
- Photoshop/Illustrator
- Finds joy in creating processes, organization, and helping others.
Ideally, this person will want to enhance their business skills as well as do some day-to-day problem-solving. This can look like creating ways to be more efficient within processes or assisting one of the other team members with software or purchasing tasks. They’ll also be confident to take on whatever is thrown at them and enjoys a challenge. They’ll be open to assisting with big or small tasks and have excellent communication skills.
