A healthcare network in New York City is looking to fill an immediate need at one of their Brooklyn facilities with the addition of a new Executive Administrative Assistant for their Hospital.

Responsibilities:
The Executive Administrative Assistant:

  • Coordinates and organizes daily administrative activities for the Chief Human Resources Officer (CHRO)
  • Schedules all meetings for the CHRO, including his/her attendance at specified meetings for the Board of Trustees, Chairmen of departments, management and multidisciplinary meetings, meetings with external agencies, etc.
  • Coordinates the policy review and approval process for all hospital-wide policies
  • Takes and transcribes minutes for meetings as required.
  • Schedules meetings and appointments for CHRO, maintains and updates daily calendar and ensures smooth flow of visitors through office.
  • Opens, sorts, and prioritizes mail for CHRO.
  • Answers telephones, screening and/or routing inquiries and complaints to appropriate hospital personnel, takes messages and provides information to callers as appropriate, communicates effectively with personnel and other departments as necessary.
  • Sets up and maintains filing system for CHRO's office.
  • Tracks all management projects for the Medical Center, providing status reports as required.
  • Maintains established departmental policies and procedures, objectives, quality assurance program, safety, environmental, and infection control standards.
  • Schedules and coordinates receptions for senior staff as required.
  • Performs other related duties as required.

Qualifications:

  • 3-5 years of previous executive administrative experience
  • HS Diploma/GED
  • Excellent communication skills (written and verbal)
  • Strong attention to detail
  • Highly organized

Desired Skills:

  • Executive Administrative Experience in a hospital setting is preferred
