Job Overview

Blank Rome is searching for a Resource Assistant in Philadelphia to support the Attorney Resource Center (ARC) and local attorneys in delivering the highest level of service to internal and external clients. As a contributing team member, the Resource Assistant is proactive in balancing multiple work demands, taking personal responsibility for the quality and timeliness of their work product, and maintaining client and firm confidentiality. The Resource Assistant recognizes the importance of exceptional customer service.

This role has an in-office working arrangement. Potential candidates must live within commuting distance of our Philadelphia office to be onsite 5 days per week. In this role, you will report to the Office Administrator.

Essential Functions

  • Facilitate the printing, copying, scanning and distribution of documents in coordination with other firm resources.
  • Promptly respond to requests via written, verbal, or electronic communication.
  • Demonstrate ability to draw on a variety of resources to achieve results.
  • Effectively analyze the complexity of each work requests, time demands, and potential conflicting priorities, and negotiates a reasonable deadline for its completion when necessary.
  • Interact with attorneys and staff across all offices.
  • Smoothly handle multiple demands and shifting priorities.
  • Prepare, track, and maintain attorney expenses in Chrome River.
  • Enter invoices in Chrome River.
  • Maintain InterAction and/or Extranet data.
  • Assist with the preparation of filings including e-Filings.
  • Assist with the assembly of practice specific binders.
  • Assist with concierge related duties including providing backup support for the reception desk.
  • Assist in providing backup support for other firm related functions as needed.
  • Perform other responsibilities as assigned.
  • Work additional hours as needed to fulfill job requirements.

Skills/Qualifications

  • 1+ year of general office or law firm experience.
  • High school diploma required.
  • Experience in a legal environment or professional services preferred.
  • Adequate knowledge of general office equipment.
  • Strong communication skills (verbal and written) with the ability to develop positive working relationships (in-person and virtually).
  • Meticulous attention to detail and accuracy.
  • Ability to manage multiple tasks with effective organizational skills.
  • Proven problem solving, critical thinking, and decision-making skills.
  • Ability to receive detailed information through oral and written communication.
  • Ability to read, create, proofread and transcribe documents.
  • Ability to exchange information and receive instructions via phone and email.
  • Ability to work in a high-pressure deadline driven environment.
  • Ability to prioritize and handle multiple projects, with a willingness to accept ownership of projects and be successful in driving projects and daily tasks, to a successful conclusion.
  • Unquestioned integrity and professionalism.
  • Proficient in Microsoft Suite (Word, Excel, Outlook, Teams).
  • Proficient in web-based conference call/web-sharing applications.
