Job Summary/Purpose

The Facilities Manager will be responsible for coordinating the activities of contractors, maintenance companies (cleaning, lights, MEP, carpet, glass, elevator, etc.) and suppliers engaged in the delivery and installation of repairs, shop modifications, initiatives and general maintenance of our boutiques and concessions. The Facilities manager will also be responsible for creating, tracking and maintaining the maintenance budget and yearly goals in line with the overall department and company strategy.

Responsibilities

  • Manages, assigns and follows through to completion all repair and Maintenance work order requests for all Prada/Miu Miu stores within the West Region of the United States via the FMS system and outside of the system as needed on a reactive and proactive basis
  • their relation to overall budgeting Manages PO creation for all maintenance and FM project work for the Region
  • Demonstrates a strong understanding of Operational and Capital improvement work and its relation to overall department budgeting
  • Reviews, approves and submits all invoices for the Region to AP for processing
  • Selects and monitors maintenance companies to perform periodic proactive and reactive work on the stores as required.
  • Studies production schedules and estimates worker hour requirements for completion of job assignment.
  • Selects contractors, maintenance companies and suppliers based on competitive prices, quality of the work and availability.
  • Demonstrates strong negotiation skills regarding vendor pricing and contracts understanding multi bid situations and further negotiation
  • Negotiates, manages and monitors all preventative maintenance vendors/contracts for Region
  • Coordinates the tasks of workers and required personnel (after hours security, access, clean-up crew, etc.) engaged in painting, cleaning, performing repairs, assembling displays and general maintenance for the above mentioned stores.

  • Prepares and supervises all work in the stores and Prada facilities (regular and afterhours).
  • Interprets company policies to workers and enforces Company standards of quality.
  • Establishes or adjusts work procedures to meet production schedules and Company standards of quality.
  • Maintains stock of necessary parts and furniture for use in each facility locally and off site.
  • Suggests changes in working conditions and use of equipment to increase efficiency of work crew and Company standards of quality.
  • Analyzes and resolves work problems, or assists workers in solving work problems.
  • Initiates or suggests plans to motivate workers to achieve work goals.
  • Maintains time and production records
  • Coordinates deliveries of parts, building supplies and furniture supplies from local and International vendors and warehouses.
  • Requests and coordinates installation of replacement parts and typical equipment for facilities. (such as lights, equipment, shelves, free standing furniture, etc.).
  • Requisitions tools, equipment, and supplies.
  • Conduct site evaluations and prepare reporting for recommendations as well as completion of work and projects
  • Inspects completed work for conformance to blueprints, specifications, and Company Quality standards.
  • Responds to emergencies and situations of an exceptional nature, as well as environmental or other building issues promptly which may have an impact on employee or client health, security or asset preservation
  • Available to respond to issues outside of normal business hours as company needs require
  • Confers with Facilities Director to coordinate activities of individual departments as they relate to logistics activities, quality and organizational standards.
  • Assist Facilities Director in developing methods to reduce maintenance and operating expense through competitive bidding and cost/benefit analyses
  • Supports Windows team with the preparation and execution of display and pop ups installs within Region as needed
  • Supports Events team in preparation and execution of events within the Region as needed
  • Supports Retail Operations by ensuring store conditions meet PRADA standards at all times
  • Works as a team with Store Operations to ensure the store teams are properly assessing the stores daily for facilities issues and reporting them via FEXA
  • Successfully operates FEXA, SAP and all other programs as needed

Requirements

  • Bachelors Degree in Business Administration, Construction Management or similar certification is required.
  • A minimum of 5 years working in a Facilities Management role, in a multi-site retail setting. Prior luxury retail experience highly preferred.
  • Must have knowledge of MEP systems in a retail setting.
  • Must be able to read and interpret construction and schematic drawings.
  • Must be proficient in MS Office programs including but not limited to Word, Excel, PowerPoint and Adobe Acrobat. AutoCAD capabilities preferred but not required.
  • Must be able to communicate clearly with internal and external parties.
  • Must have strong organizational skills, a demonstrated critical-thinking mind-set, and the ability to multi-task and navigate through ambiguity.
  • Must be able to model adapatability through constantly changing priorities.
  • Must be able to travel extensively and have flexibility in schedule for business needs.
  • Must be based in Southern California or Las Vegas.

The annual salary range for this position may vary from $90,000 - $120,000, and if applicable, may be eligible for bonuses and other incentive opportunities. The rate of pay offered may vary based on job-related knowledge, skills, and experience.
