JPI is seeking an Executive Administrative Assistant for federal government client needs. This Executive Administrative Assistant will serve as confidential administrative assistant to an Executive Director (XD) and plays a critical role in supporting the efficient functioning administrative support, correspondence management, communication handling, and the management of executives’ requests and queries appropriately. The successful candidate will have at least 5 years of experience as an Executive Administrative Assistant supporting high-level federal clients. Must be a self-starter with high attention to detail, strong organizational skills, and the ability to work effectively independently and in team settings to include close collaboration with program managers and client personnel.

Responsibilities Include:
- Performs specialized administrative support tasks of a non-routine and non-repetitive nature.
- Monitors projects and finances for members of an assigned functional unit.
- Performs professional level tasks both formal and informal requiring independent judgment, initiative, and tact.
- Determines method of collection and analysis for assigned projects and prepares complex briefings.
- Responsible for preparing various reports and making recommendations for actions, project management, event planning, and other duties as assigned.
- Assists with incoming and outgoing actions to appropriate program staff for response, ensuring timeliness, reviewing of and correcting content, and formatting for the Executive Director’s review and signature.
- Coordinates calendars and correspondence for high-level federal client leads.
- Prepares agendas, minutes, and other read-ahead materials.
- Sends meeting invites and tracks meeting participant responses.
- Creates and distributes ad hoc briefings and reports.
- Acts as primary point of contact for distribution of information and coordination.
- Assists in the review and drafting of documents and reports for clients.
- Develops and maintains points of contact lists, organizational charts and email distribution lists.
- Prepares and distributes correspondence.
- Read and interpret government policy, regulations, and directives and to apply those to required activities.
- Tools used include but are not limited to: MS PowerPoint, MS Excel, and MS Word, MS Teams, MS SharePoint, Jira.
Requirements
- Minimum of (5) years proven experience performing a variety of administrative functions to support the operations of a program office and senior managers.
- Excellent written and oral communication skills
- Strong attention to detail and organizational skills
- Ability to obtain a Public Trust Clearance
- Must be a self-starter with the ability to work effectively independently and in team settings to include close collaboration with front office staff and executives
- Proven ability to support multiple taskings simultaneously in a deadline-driven process
- Building rapport with colleagues, clients, and stakeholders while developing a reputation as someone who is responsive, trustworthy, and mindful of minute details.
- Experience in building and managing client relationships, including those with Senior Leadership
- Proficiency in the use of desktop computer and use of the entire Microsoft Office365 suite of applications, specifically MS Teams, Excel, and SharePoint
- Must be US Citizen

JPI is hiring for several positions and will consider your application across our current and future openings. Expected compensation for this position can be salaried at 35-38k annually or we are open to a 1099 arrangement at $35-40/hr, including a generous benefits package with comprehensive healthcare coverage. Please note that final compensation is dependent on a variety of factors and is reviewed regularly for both internal and external equity considerations.
