The Poweshiek County Extension Office Manager assists in the operation of the Poweshiek County Extension office. The position requires enthusiasm, initiative, adaptability to change and varying workload, interest in self-improvement, punctuality, and confidentiality.
Responsibilities
Office Manager Duties:
- Maintain the order and appearance of the office in a professional and welcoming manner
- Greet public, answer the phone, and provide general information
- Supply clients with research-based information from Iowa State University (ISU) Extension and Outreach or give referrals to appropriate resources or person
- Handle incoming and outgoing mail and packages
- Maintain meeting room calendar and office accessibility
- Follow standard policies and procedures regarding Poweshiek County Extension business operations and Extension Council relations
- Manage the Poweshiek County Extension webpage with ISU campus assistance
- Manage MyData, 4H online, and Fair Entry database programs
- Promote and market Poweshiek County Extension and ISU Extension and Outreach programs by developing or assisting with fliers, news releases, and brochures and by uploading the information on the Poweshiek County Extension webpage and onto Social Media platforms.
- Schedule and coordinate Private Pesticide training classes with Field Specialist.
- Schedule and coordinate Confinement and Commercial Manure classes.
- Schedule webcasts for commercial pesticide applicators, take registrations, copy materials, and complete reporting requirements
- Assist staff with educational programs by securing meeting rooms, buying supplies, ordering refreshments, making registration lists, collecting fees, and helping with reports
- Support the Poweshiek County Extension Regional Director in preparing packets for Extension Council meetings and answer questions or complete requests after meetings
- Receipt money coming into the office for various programs and projects, through cash and online systems.
- Maintain Postage mailing machine, loading funds, running reports, etc.
- Order publications to keep files and bulletin racks current
- Order office supplies, soil test kits, etc.
- Troubleshoot office machines and software
- Update office inventory
- Monitor state elections and referendums for the Iowa Corn Growers, Iowa Soybean, and Sheep Association and call in reports
- Comply with the Fiscal Policy for the Poweshiek County Agricultural Extension District
- Prepare payroll checks, track vacation and sick leave, pay taxes and contributions to the Iowa Public Employees Retirement System as instructed by Regional Director or Accountant
- Prepare deposits weekly in the appropriate bank account
- Enter bills into accounts payable system for bi-weekly check printing in partnership with External bookkeeper
- Prepare and print checks
- Print and file required reports weekly, monthly, quarterly, and yearly
- Email, print, and file financial reports before Extension Council meetings
- Create billing invoices for program expenses and materials
- Maintain program expense and revenue records to better understand and relay costs associated with programs.
- High school graduate; prefer a minimum of a two-year degree
- Clerical office experience and/or post-high school clerical training equivalent to two years full-time employment
- Knowledgeable and supportive of ISU Extension and Outreach programs
- Basic knowledge of office procedures, including proficiency in using equipment
- Excellent verbal and written communication skills, e.g. grammar, punctuation, and sentence structure
- Proficiency with common word processing and computer layout and design software (example; InDesign and Word) Willingness to learn how to make accessible online documents.
- Strong technical skills (i.e. virtual meetings, conference calls, etc.)
- Demonstrated competence in organizational tasks
- Ability to multi-task and solve problems
- Self-motivated and ability to initiate work without direct supervision
- Respect, appreciate, and communicate with volunteers
- People-oriented and skilled in customer relations
- Dependable team player
- Pay attention to detail
- Valid drivers’ license and reliable transportation to travel to program events
- Ability to lift at least 40 lbs
