The University of Washington's Information School is seeking a Program Manager for the new Center for Advances in Libraries, Museums, and Archives (CALMA) to co-create and implement the ongoing activities for the center. In consultation with CALMA's Director for Strategy and Operations (DSO), this position informs and engages faculty, research scientists, students, staff, and practitioners through programming designed to facilitate connections across librarianship, museology, and archival studies; and weave research, learning, and practice. In addition, this position supports the Center's governance and administrative functions.

Having completed its planning phase, CALMA will formally launch in Fall 2024. The Center is headquartered at the Information School's Seattle campus and organized as a collaborative effort among affiliated iSchool faculty and research scientists, UW librarians and administrators, and students. With CALMA, the University of Washington will be unique as a world-class research university that hosts a center dedicated to libraries, museums, archives, and the interdisciplinary research that impacts those professions.

The person to succeed in this role is skilled in building a sense of community through positive and authentic exchange, managing multiple schedules and logistical details to ensure events run smoothly; producing website content and email communications that are coherent and compelling to a variety of audiences; and working collaboratively with diverse groups of people to design and implement creative programming. Someone who has experience working in an academic setting and who has educational and/or work experience related to libraries, archives, or museums may find this role particularly engaging.

What You'll Be Doing:

Center Programming:
Design and manage CALMA-hosted events (in-person, virtual, and hybrid), including scheduling, speaker support, promotion, attendance tracking, event logistics, and other related issues.
Co-design and manage processes related to CALMA-led special projects, such as innovation grant applications, fellowships, scholarships, grant proposals, partnership development, and student field work.

Communication Channels:
Develop and manage an editorial calendar for the CALMA website and associated communication channels, to continuously spotlight and amplify recent and emerging research and scholarship produced by iSchool and affiliated members.
Manage the website's design and functionality in Wordpress, to ensure that it is accessible and offers a positive user experience.
Manage CALMA mailing list, processing subscribers, fielding inquiries, and providing regularly scheduled news updates through the list.

Center Governance:
Co-design and manage smooth functioning of and communications with LAM Community Council; lead implementation of twice-annual Council convenings.
Co-design and manage smooth functioning of and communications with Executive Councils, manage monthly meeting logistics, including scheduling, agenda planning, slides and other materials, and meeting summaries.

Minimum Qualifications
Bachelor's degree in Communications, English, Journalism, Library Science, Museum Studies, or another related field.
Two to three years' experience as a program manager or related position that includes strong track record with designing and managing all details and logistics for in-person, virtual, and hybrid events (such as convenings, presentations, round table discussions).

Additional Requirements
Up-to-date skills in website content management, ideally WordPress.
Adept at using Microsoft Office suite, Zoom, and Google online document management tools.
Highly skilled at managing time effectively through strong organization and planning techniques.
Highly skilled in managing details that are critical to a high-quality result.
Strong writing skills, with experience gathering and synthesizing information, and communicating to a variety of audiences in a clear and compelling style.
Demonstrated experience working in diverse populations.
Strong interpersonal skills that contribute to positive interactions and collaboration with a variety of colleagues and contributors.
Experience with managing multiple projects simultaneously.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Desired Qualifications
Work experience in higher education setting.
Formal education or work experience related to the library, archives, or museum profession.
Experience crafting and managing multi-channel communications on behalf of a program or organization.
Experience with the grant management lifecycle.
Experience with budgeting and financial processes and applications.

Conditions of Employment
This position may require occasional travel to local and regional events.
This position will work primarily onsite at the Information School's Seattle offices during regular work hours. Some events may take place in the evenings.
Physical activity may include basic room equipment setup and repositioning tables and chairs.
