Summary Of Major Duties

The Library Specialist II works to purchase library resources according to predefined procedures and policies. Under the supervision of the Library Director, the Library Specialist II expends and maintains the expenditure of material funds as allocated within constraints of a fiscal budget. The individual uses computer applications to perform the various aspects of ordering, receiving, and tracking expenditures as well as compiling, maintaining, and submitting reports. The Library Specialist II works collegially with librarians and faculty in executing primary job functions. The individual works at library’s public service desk, as scheduled, and provides courteous, efficient, and knowledgeable customer service to all library users. The Library Specialist II works rotating weekends.

The Library Assistant II participates in library instruction provided they have the appropriate teaching credentials and experience.

Essential Duties And Responsibilities

  • Collaborates with faculty and librarians on purchases and coordinates material orders for acquisition.
  • Prepares and submits online orders using integrated and standalone computer applications.
  • Maintains and verifies encumbered and expended budget lines for the library materials accounts.
  • Assists with budgetary reports on expenditures and provides statistical data.
  • Assists with the management of account activities on internal and vendor ordering systems.
  • Works with vendors to establish accounts; monitors and receives orders; tracks expenditures; identifies discrepancies with orders; and communicates with vendors in resolving order issues.
  • Maintains collaboration with Accounts Payable while addressing internal and external accounting issues.
  • Processes library materials for inclusion into the library’s collections; including gift collections.
  • Communicates acquisitions procedures and policies; identifies problems and participates in discussions about solutions and/or updates to acquisitions procedures.
  • Works at the library’s public services desk, as scheduled, to include rotating weekends.
  • Assists with the supervision of student assistants, interns, or library volunteers.
  • Participates in departmental/college meetings and attends training to enhance skills.
  • Performs other related duties as assigned.

Minimum Qualifications

Bachelor of Arts or Science Degree from an accredited institution of higher education; three years of library experience, preferably in public service area.

  • Clear and effective oral and written communication.
  • Demonstrated computer skills and an advance knowledge of Windows, MS Office, and Excel software programs.
  • Demonstrated knowledge using an integrated library management system (ILMS)
  • Demonstrated knowledge of library services practices and varied online resources.
  • Demonstrated organizational and time management skills.
  • Demonstrated exceptional customer service skills.
  • Attentiveness to details.
  • Ability to work independently and as part of a team.
  • Ability to learn new technologies and software.
  • Ability to exercise sound judgement.
  • Ability to bend, stoop, reach, lift, stand, and move from one area to another on a regular basis.

  • Teaching credentials and experience.
